We are seeking a dedicated and enthusiastic Customer Service Representative to join our dynamic team. In this role, you will be the first point of contact for our customers, providing exceptional service and support. Your ability to communicate effectively and analyze customer needs will be crucial in ensuring customer satisfaction and loyalty. Responsibilities
Respond promptly to customer inquiries via phone, email, or chat, ensuring a positive experience.
Provide accurate information about products and services while addressing customer concerns.
Utilize data entry skills to maintain and update customer records efficiently.
Analyze customer feedback and provide insights to improve service delivery.
Answering customer questions and resolving their concerns in a timely manner. (First Contact Resolution)
Adhering to Service Level Agreements (SLAs)
Contribute to being on call and on the emergency line (evenings and weekends)
Open service requests for specific situations on behalf the Tenant or Owners, ensuring accurate order entry.
Updating records and maintaining accurate customer information.
Coordinate all move-ins, move-outs, processes:
Send Notices to end tenancies.
Enter move outs and break leases information into the system and worksheets to begin the sales process.
Send welcome letters and prepare the welcome kit for new tenants.
Coordinate all activities to have parking maps, lockboxes inventory and keys available for move ins.
Provide timely, efficient, and professional administrative support to all the Company Staff Members.
Maintaining records and files.
Send announcement to tenants: Pest Control, service entrance, fire checks reviews, among others.
Collaborate with team members to resolve complex issues and improve overall service quality.
Maintain a thorough understanding of company policies, procedures, and product offerings.
Assist the Leasing Agent to schedule showings, manage calendars, confirm showings.
Take Leasing calls, respond to Portal leads, answer leasing e-mails.
Manage social media accounts and respond to prospective buyers, sellers, landlords and/or tenants
Requirements
Proven experience in a customer service role with strong communication skills in English and French are highly desirable.
Proficient in data entry with attention to detail for accurate record keeping.
Ability to analyze situations quickly and effectively to provide solutions.
Experience in sales or upselling techniques is a plus.
Strong interpersonal skills with the ability to build rapport with customers.
A positive attitude, patience, and empathy towards customers' needs.
Flexibility to work various shifts as required by the business.
Strong problem-solving and analytical skills.
Ability to handle multiple tasks and prioritize effectively.
Attention to detail and accuracy.
Ability to work under pressure and meet deadlines. .
