Position Summary:
We are seeking a Customer Service Administrator to be a key part of our operations team. You will act as a liaison between customers, production, shipping, and sales, ensuring smooth communication, timely fulfillment of orders, and excellent service. Your work will help maintain customer relationships, track orders, resolve issues, and support internal teams.
Key Responsibilities:
Serve as primary point of contact for customer inquiries (phone, email, in person), responding promptly and professionally
Process customer orders in the order management system; enter data accurately, confirm details, track status
Coordinate with production and shipping to ensure orders are scheduled, produced, and delivered on time
Follow up on shipments, liaise with carriers when needed
Update customer files and records; maintain accurate logs of communications, order changes, complaints or issues
Prepare reports for management (e.g. order backlog, customer feedback, order status, delays)
Assist in preparing quotations or estimates, and liaise with sales for pricing or product information when required
Resolve customer issues and complaints, escalating where necessary, ensuring customer satisfaction
Provide administrative support to sales and operations teams -- scheduling meetings, preparing documents, communicating internal updates
Ensure compliance with quality, safety, and regulatory requirements in all interactions
Qualifications & Skills:
Secondary school diploma required; post?secondary diploma in business, administration, or related field is an asset
1?2 years (or more) experience in customer service, administrative support, or order processing, ideally in a manufacturing or industrial setting
Strong verbal and written communication skills in English; additional languages an asset but not required
Excellent organizational skills; ability to multitask, prioritize and manage time effectively
Attention to detail and accuracy in data entry and record keeping
Problem solving skills; ability to remain calm under pressure and adapt to changing circumstances
Proficiency with Microsoft Office (Word, Excel, Outlook); experience with ERP/order?entry systems is an advantage
Customer?focused attitude; strong interpersonal skills; team player
