We are seeking a dedicated and detail-oriented Customer Service Coordinator to join our team. This role is vital in ensuring exceptional customer experiences through effective communication, data management, and problem-solving. The ideal candidate will be proficient in handling customer inquiries, providing support in multiple languages, and contributing to sales initiatives through upselling and analysis. Key Responsibilities
Payment & Financial Follow-up:
Monitor aging accounts and perform persistent follow-ups with clients via phone/email to ensure timely payment.
Reconcile invoices and resolve basic billing discrepancies.
Proposal & Sales Support:
Track sent proposals/contracts and execute scheduled follow-ups to move deals toward closure.
Update CRM or internal tracking logs with real-time status updates on pending bids.
Meeting Coordination:
Manage complex calendars, including scheduling, confirming, and rescheduling internal/client meetings.
Distribute meeting agendas beforehand and perform post-meeting follow-ups on assigned action items.
General Administration:
Draft professional correspondence and manage incoming inquiries.
Maintain organized digital filing systems for contracts and financial records.
Skills
Strong data entry skills with attention to detail
Multilingual abilities, particularly fluency in English and Spanish, are highly desirable
Excellent communication skills, both verbal and written, with a focus on professional phone etiquette
Customer service experience with a passion for helping others
Analysis skills to interpret customer feedback and sales data for strategic insights
Sales experience with a focus on upselling techniques
Ability to work effectively in a team environment while managing multiple tasks simultaneously
Proficiency in relevant software tools for data management and communication platforms
