We're seeking a detail-oriented, tech-savvy CRM & Operations Assistant to support our growing property management operations. This role is ideal for someone who loves systems, is highly organized, and has a knack for improving processes with technology. You'll play a key part in maintaining our CRM, automating routine tasks, and building out internal SOPs to keep our property management workflows running smoothly.
Key Responsibilities:
Manage and update our CRM system (leadsimple, Buildium, , ensuring accurate records for tenants, owners, vendors, and leads.
Set up and maintain automations to streamline communication, task assignments, and follow-ups (e.g. move-ins/outs, maintenance requests, lead nurturing).
Support the documentation and continuous improvement of property management SOPs.
Assist with onboarding of new properties, owners, and tenants, ensuring all systems are properly set up.
Coordinate internal workflows between property managers, maintenance, leasing, and accounting teams using digital tools.
Monitor CRM data quality and assist in reporting on key operational metrics.
Identify and recommend opportunities to improve efficiency using automation or tech integrations.
Provide general admin support to the operations team.
help build a KPI scoreboard.
Qualifications:
Experience in property management, real estate operations, or a related administrative role.
Familiarity with property management platforms like Buildium, AppFolio, or similar.
Hands-on experience with CRMs and automation tools (e.g. Zapier, Make, Airtable, etc.) preferred.
Strong attention to detail and comfort working with data and digital tools.
Excellent written and verbal communication skills.
Organized, self-motivated, and eager to improve systems.
Nice to Have:
Knowledge of leasing, maintenance coordination, or owner/tenant communication workflows.
Experience creating and maintaining SOPs or process documentation.
Familiarity with Google Workspace, , project management tools (e.g. ClickUp, Trello, Asana).
