Position Overview
The Corporate Support Coordinator is responsible for providing confidential corporate support to enhance the organization's operations and effectiveness. This role will provide cross-functional administrative and coordination support across organizational operations, governance, events, and leadership initiatives. It is a non-bargaining position of confidence and trust, reporting directly to the Manager of Corporate Support.
Responsibilities Include:
Support the Manager of Corporate Support
with the day-to-day administrative and project coordination across the organization, collaborating with the Executive and Leadership Team, and working closely at times with Communications and Fund Development
Assist with coordination
related to facilities, technology systems, and data and evaluation processes, ensuring smooth communication and documentation
Provide administrative support to the Board of Directors
, including scheduling, meeting coordination, preparation of materials, and maintaining documentation and records.
Provide administrative support to the Executive Team and Leadership Team such as booking meetings and events, tracking programs and projects and general organizational support.
Serve as the initial point of contact and coordinator for third-party events
, and facility rental bookings. Assist with organizational and community event planning, including setup logistics and post-event follow-up.
Support and track team-led events and projects
, providing updates to the Manager of Corporate Support and other delegating leaders, as required. Foster cohesive working relationships across teams to achieve organizational objectives.
Track event-related expenses
and support reconciliation with approved budgets. Maintain communication and collaboration across departments as required. Participate in team, agency, and committee meetings as required. Complete other tasks as reasonably requested by the Manager of Corporate Support or Executive Team. Support the Fund Development Team with research, donor stewardship, and small grant applications.

Skills, Experience, and Knowledge
Given this description we are anticipating the successful candidate would have the following:Two to three years of executive level administrative support experience, in a non-profit environment is preferable
Demonstrated experience supporting Board of Directors or governance process is a strong asset
Strong organizational, project, and time management skills; the ability to multi-task and meet deadlines with accuracy and attention to detail is required
Excellent interpersonal skills, demonstrating ability to establish and maintain effective working relationships both internally and externally with staff, management, volunteers, suppliers, community partners and external stakeholders Demonstrated ability to be adaptable, creative, and innovative in work Ability to work independently with little supervision, be self-directed and take initiative.
High level of professionalism with ability to effectively apply critical thinking and problem solving
Solid and effective interpersonal and communication skills (including oral, written, and visual) required
Proficient in computer skills, including Microsoft Office (Outlook, Word, Excel, SharePoint) and ability to learn new programs in a timely manner.
Proficiency in the use of a computer; skilled in use of databases, internet, social media, e-mail fundamentals, and knowledge of current software programs
Ability to work flexible hours as required

Mostly working in office setting during normal working hours in a week. On-site provides accessibility to team members, leaders and ability to understand the working environment Travel is required between shelters in Waterloo Region
