We are seeking a highly motivated and experienced individual to join our Standard Forms Department as Coordinator, Standard Forms, on a temporary basis (12-month contract) to cover parental leave.


The successful candidate will possess a strong understanding of industry standards, particularly OREA Standard Forms and Clauses, and their practical application within the day-to-day operations of OREA Members. Additionally, they will demonstrate proficiency in office administration, supporting the leadership team effectively.


This role requires a self-starter with the ability to manage their own projects and provide support to team members. The position carries significant responsibilities and demands an individual who can thrive in a highly productive environment.


As a key member of the Forms team, the Coordinator, Standard Forms, will interact directly with all internal Forms team members and external stakeholders on behalf of the team. Their contributions will significantly enhance the overall value of the OREA Forms team, reporting directly to the Head of Forms.

Major Responsibilities:

Responsibilities include but are not limited to the following:

Frontline Member Communications:

Receive, triage, and manage, multiple Forms email addresses through MS Outlook and Salesforce and phone inquiries through Bell Connect using templating, logical discretion, and knowledge to respond or escalate, as appropriate.

Subject Matter Expertise (Junior Level):

Using existing knowledge of OREA Forms and Clauses, assist in or manage the development of Forms education, training, and self-directed learning. This includes managing ongoing Guidance Piece and FAQ development, setting deadlines, content review, and communications with subject matter experts and support departments.

Invoicing:

Issue, track, and manage invoicing for Brokerage Outreach and Standard Forms Licensees.

Minutes:

Minute taking for all Standard Forms meetings, including to team meetings, Committee meetings, internal planning meetings, etc. Capturing key discussions, decisions, action items, and updates.

Webinar Coordination

: Schedule events, send calendar invites, host panelists, provide technical support to hosts and attendees, assist Senior Manager, Standard Forms to answer questions in Q&A during live event behind the scenes while Hosts present.

Team Support:

Provide backup and support for fellow team members tasks and projects. This will require awareness of all Standard Forms operations.

Qualifications and Skills:

Minimum 2 years trading experience or experience working within the real estate industry and familiarity with OREA and Ontario organized real estate. OREA Forms and Clause product and service knowledge and awareness. Post-secondary education or equivalent professional experience. Excellent computer skills; including Microsoft Office applications, Adobe Acrobat, and virtual meeting software. Superior communication, project management and management skills. Ability to achieve specified objectives and to deliver services in a timely, efficient manner and with accountability. Willingness to travel (as required). Ability to work independently and within a team to passionately deliver quality Forms messaging to Members.
