We are currently looking for a Retail Tenant Coordinator to join our Retail Design and Construction team. In this role you will be responsible for assisting manager, retail design and construction with the coordination of Landlord and Tenant work both prior to construction and on-site during the Tenant fit out. As a member of this team, you will:

  • Working closely with Square One Property Management, Development, Leasing, and external consultants as well as a shared resource with other property teams (as required) on current or future Tenant construction coordination and administration. I.E.: Access to legal documentation, base building drawings, mall rules and regulations, other coordination assistance as required.
  • Maintain correspondence with Tenants through issuance of: fixturing notices, design packages, drawing approval letters, work authorizations and chargebacks.
  • Coordinate review of all drawings by analyzing and distributing them to consultants and in-house operations personnel.
  • Assist with minor tenant drawing reviews for design and Design Criteria compliance.
  • Create, maintain, and distribute status reporting documents for all Tenant related construction activity.
  • Recording, consolidating and updating all Tenant related construction activity, including access to Landlord and Retail Tenant drawings and documents.
  • Attend and participate in project, and construction meetings as required.
  • Inspect and review Retail Tenant construction projects to ensure strict adherence to the approved Landlord reviewed drawings, Tenant Design Criteria and the mall rules and regulations.
  • Identify potential design and construction problems with team and aid in arriving at common solutions to repetitive/complex design and construction issues.
  • Inform Tenant's General Contractors that are not performing to schedule, and work directly with these parties to resolve any outstanding issues.
  • Assist Manager, Retail Design and Construction with day to day coordination for contractor access and construction permit compliance
  • Respond to queries from Tenants, consultants and contractors.
  • Survey Tenant spaces, as requested, to ensure accuracy of information.
  • Perform post construction inspections and reports for the completed Tenant construction.
To succeed in this role you:
  • Possess a University Degree/College Diploma / Certificate in related fields.
  • Have general knowledge of Building Systems, Retail Design & Construction, and/or Commercial Construction Project Management experience combined with lease documentation experience.
  • 1-3 years of experience in real estate construction administration and/or interior design preferably within a commercial/retail environment.
  • Are skilled at reviewing architectural and engineering drawings.
  • Have excellent verbal and written communication skills coupled with the ability to communicate effectively across all levels.
  • Have the ability to manage multiple priorities.
  • Are proficient in Adobe Acrobat, Bluebeam, Microsoft Office.
  • AutoCAD, Salesforce, and Procore experience would be an asset.
