SUMMARY OF DUTIES
Coordinates tasks, activities and events for the NFB\xe2\x80\x99s Programming, Distribution and Marketing (PDM) sectors. Responsible for organizing a range of committee meetings, management meetings and retreats. Prepares quarterly, institutional and ad hoc reports, as well as presentations. Responsible for sourcing information, including contributing to the development of effective tools, updating project databases and documents (works or projects being launched), sharing Programming, Creation, Distribution and Marketing (PCDM) information with other branches and preparing information for external publications.
MAJOR RESPONSIBILITIES

  • Responds to front-line inquiries from internal and external clients and partners (excluding media) about distribution and marketing activities and initiatives.
  • Helps implement and manage new tools and continuously improve current project-related tools; shares essential information with internal teams and ensures that information provided by the Communications team is adequate and reliable.
  • Proposes and implements a centralized and organized repository for all information related to projects\xe2\x80\x99 launch and distribution activities, and ensures that teams have access to it; ensures the information listed is reliable.
  • Evaluates workload and plans a work schedule based on priorities; as required, contracts freelancers to carry out work.
  • As needed, represents the PDM sectors in working sessions, collects and shares information related to the development or implementation of new tools, etc.
  • Coordinates various meetings for management, working committees or others and, as applicable, ensures documents relevant to the meetings are drafted and readily available; follows up on action items.
  • Provides administrative support to PCDM\xe2\x80\x99s Operations Manager in updating key operational documents and using appropriate collaborative tools, such as the Intranet, to make these available to PCDM teams.
  • In collaboration with the PCDM Operations Manager, helps implement the necessary tools for the various follow-ups to be carried out by the PCDM management team.
  • Gathers and consolidates information related to participation in festivals and events, and follows up with the Distribution and Marketing sector to track NFB project-launch events, festival openings and closing-night invitations.
  • Responsible for the coordination of travel booking; manages tickets, travel and accommodations bookings and communication with the PCDM management and Communication teams.
  • Implements a tool that consolidates information on all public relations and launch events, such as film festival premieres or industry events; manages the distribution of information to the team and coordinates the NFB\xe2\x80\x99s attendance at these events.
  • Manages the agenda of the Assistant Director General, PDM and the two (2) Marketing Directors, including physical or electronic correspondence, coordination of or translation of documents, travel bookings and expense claims, as applicable.
  • Supports the PCDM management team in creating presentations; assembles their instructions to organize and gather content, selects images and formats the documents.
  • Creates delegation plans; reviews the plan details for accuracy and completeness, responds to inquiries, obtains necessary approvals and follows up on these; implements updates and changes to the plan, submits and shares the delegation plan to relevant stakeholders and uploads it on collaborative tools.
  • Participates in the organization and coordination of all aspects of the PDM semi-annual retreats and other events for NFB staff such as Playback screenings.
  • Provides support on PDM business-intelligence initiatives; collaborates with colleagues on drafting communications, prepares ad hoc reports, collects data and shares information.
  • Working with the Program Coordinator, shares updates on PCDM events and initiatives on platforms accessible to the public, such as the institutional website; manages published content, ensures information accuracy and relevance, and regularly updates bilingual content.
  • Produces statistics and collects information from various sectors and studios for quarterly, annual and other institutional reports.
  • Coordinates and ensures the quality of reports and document management.
REQUIRED QUALIFICATIONS
  • College diploma in Administration, Office Technology Studies or equivalent;
  • Minimum of five (5) years\xe2\x80\x99 experience in a similar position, or an equivalent combination of training and experience;
  • Experience working with various collaborative tools and in providing administrative support such as managing calendars, drafting correspondence and other documents, organizing meetings;
  • Proficiency in office software (MS Office \xe2\x80\x93 Outlook, Word, Excel, PowerPoint);
  • Bilingualism in both official languages (French and English), both orally and in writing.
