Working Arrangement Hybrid



In the performance of your duties, you provide customer service and event coordination at Maison Manuvie's conference centre, lounge and lobby. Your main responsibilities include:

Relations clients :

  • Supervise and enforce Maison Manuvie's conference center regulations with tenants, suppliers and coordinate site visits;
  • Coordinate and maintain the calendar of events on the online booking software, prepare weekly logistics and make service calls to ensure the follow-up of the assignations
  • Prepare logistics and development plans, follow up with the technical teams for the organization and maintenance of spaces as well as produce the necessary signage at the request of the tenants;
  • Assist users in the management of conference center events;
  • Coordinate the execution of service calls related to the conference center with the various building services;
  • Perform the services of audiovisual technician during tenant conferences;
  • Continually review and make the necessary adjustments to the conference center's reservation software in collaboration with the software provider;
  • Coordinate all maintenance of the audio-visual equipment (service call, tune-up, etc.)
  • Assist tenants with the use of the conference center's audio-visual equipment;
  • Coordinate and manage the various telecommunications services of the conference center and the building's services;
  • Assist building managers in the establishment, development and implementation of conference center procedures and regulations;
  • Coordinate and bridge the gap between suppliers and the manager (Spectech) of Maison Manuvie' s IT network;
  • Coordinate filming requests at Maison Manuvie;
  • Coordinate tenant events in the main entrance hall;
  • Assist the managers and its suppliers of Maison Manuvie's IT network when there are physical maneuvers or when there are alarms on the building network;
  • Act as an expert and support building managers in the management and use of the building's telecommunications equipment and technology.
  • The candidate may be called upon to provide technical expertise on other sites owned by Manulife in the Montreal area.
Administration:
  • Maintain and repair equipment and inventory by actively participating in bids for the purchase of equipment and negotiating agreements with selected suppliers;
  • Actively participate in the development process of space renovation projects and coordinate the work schedule with suppliers and contractors;
  • Make calls for services for the cleaning of tablecloths with the assigned cleaner and ensure the logistics of storage and handling;
  • Ensure that IT vendor billing reflects services rendered;
  • Follow up with caterers to obtain relevant documents at events (i.e. liquor license, post-event equipment status forms);
  • Carry out the invoicing of events in the lobby and filming;
  • Prepare purchase orders and documents necessary for the payment of supplier invoices for all purchases;
  • Perform any other related duties as required by his/her immediate superior or as required by his/her duties.
Required knowledge and skills
  • DEP or other training deemed relevant.
  • AEC in Event and Convention Management, (AEC Special Events);
  • 2 to 3 years of relevant experience in the field of multimedia and/or coordination of special events.
  • In-depth knowledge of the technological equipment of a smart building and a state-of-the-art conference center.
  • Attention to detail and excellent customer service.
  • Demonstrated ability to establish and maintain quality business relationships.
  • Team spirit and a strong desire for continuous quality improvement.
  • Autonomy, high sense of organization, planning and management of multiple schedules.
  • Excellent French and English spoken and written.
  • Mastery of MS Office, Condeco software.
  • Knowledge of MS Visio software, Le Bon Registre, Basware, Tesira, Cisco SX80 and Solstice Pod
  • Interpersonal skills and dynamism.
  • Be able to work occasionally in the evenings and/or on Saturday and Sunday depending on the calendar of events.
