Job Description

The Coordinator, Event Development, plays a critical role in supporting the planning, coordination, and execution of Excite Lethbridge's internally produced events. This position has a

heavy event coordination focus

, managing logistics, scheduling, documentation, and vendor/exhibitor support to ensure seamless operations across events such as the Lethbridge Farmers' Market, Whoop-Up Days Marketplace, Canada Day, Food Truck Program, Glow Lethbridge Twinkle Town Market, Ag Expo, and the Lethbridge & District Pro Rodeo.

Reporting to the Manager, Event Development, the Coordinator assists with operational and administrative tasks to ensure all event elements run smoothly. This role requires strong organizational skills, attention to detail, the ability to multitask, and effective communication with internal teams, vendors, and partners.

KEY RESPONSIBILITIES



Vendor & Exhibitor Coordination



Coordinate all aspects of vendor and exhibitor participation for Excite Lethbridge events, including but not limited to: Lethbridge Farmers' Market Whoop-Up Days Marketplace Canada Day Food Truck Program Glow Lethbridge Twinkle Town Market Process applications, approvals, and agreements accurately and efficiently. Communicate with vendors before, during, and after events to ensure operational needs are met. Assist with vendor placement, on-site setup, and operational support as needed.

Event Planning & Coordination



Support the planning, organization, and execution of Excite Lethbridge's core internally produced events. Assist with logistics planning, event scheduling, and workflow management. Facilitate on-site operations and troubleshooting to ensure smooth event execution. Maintain accurate event documentation, including project plans, critical paths, contracts, and reports. Coordinate with internal departments (Operations, Marketing, Food & Beverage, Finance) to ensure seamless execution. Serve as a key point of contact during events, assisting with operational needs and vendor coordination.

Operational & Administrative Support



Manage event paperwork, contracts, and reporting related to assigned events. Support event setup and teardown activities, ensuring adherence to safety and operational standards. Contribute to identifying and resolving operational challenges to ensure events run smoothly.

WORKING ENVIRONMENT



Standard office hours for most of the year, with extended hours during events. Schedule will shift to Tuesday-Saturday during the Lethbridge Farmers' Market season, with early morning hours on Wednesdays and Saturdays. Office environment combined with active on-site presence during events. Physical mobility required, including walking, standing, and supporting event operations for extended periods.

QUALIFICATIONS & ASSETS



Post-secondary education in Event Management, Hospitality, Business Administration, Communications, or a related field (or equivalent combination of education and experience). 1-3 years of experience in event coordination, vendor management, or operations support. Strong organizational and multitasking skills with a

heavy coordination focus

. Excellent communication and interpersonal skills for working with vendors, exhibitors, and internal teams. Proficiency with computer applications including Excel, Word, Outlook, databases, and internet-based tools. Knowledge of event management software such as

OnePlan

and

EventPro

is a strong asset. Ability to problem-solve and provide practical solutions in dynamic environments. Accountable, proactive, and detail-oriented, with a collaborative and flexible approach. Valid driver's license and ability to work flexible hours, including evenings, weekends, and holidays as required. First Aid/CPR certification or willingness to obtain is an asset. Experience working with volunteers, community groups, or large-scale public events is an advantage.
