The

Faculty of Veterinary Medicine

is currently seeking a Full-time Temporary Relief

Advisor, Admissions & Recruitment

for approximately 15 months.


Reporting to the Manager, Community Partnerships and Clinical Affairs, and supporting the Associate Dean, Admissions and Outreach this position is responsible for advising on the admissions and recruitment processes to the University of Calgary Faculty of Veterinary Medicine (UCVM) Doctor of Veterinary Medicine (DVM) program. As the only Admissions and Recruitment Advisor for the program, this position is also responsible for providing guidance and support to the Admissions Committee and other committees or working groups in this portfolio.


Travel off-site, to the Spy Hill Campus and our Foothills Campus its required to support recruitment and admissions activities. This position is located at our Spy Hill Campus.


There will be regular need to work outside of these hours including weekends, which will predominantly coincide with student interview/ selection processes and to support off-campus recruitment or outreach activities.

Summary of Key Responsibilities

(job functions include but are not limited to):

Leads the advisory and application components of the admissions process for DVM students at UCVM. The process must run smoothly and efficiently and key responsibilities include: + ensuring all admission requirements are clearly and correctly made available to prospective students
+ ensuring program guidance to students is detailed, accurate, and complete
+ ensuring all student application records are accurate and complete
+ ensuring confidentiality is maintained throughout the admissions process
+ ensuring all students are treated fairly and without bias
Advise on, support, and coordinate the admissions process; this includes supporting the activities of the UCVM Admissions Committee. Responsibilities may include collection, preparation, and presentation of admissions and recruitment information Advises prospective students with information on the DVM program application and admissions processes, and options (from application through to admission) Ensures application materials are prepared and distributed in a timely fashion Leads the coordination and management of admissions files, ensuring that all related databases are accurate and completed in a timely manner. This may include evaluation of GPAs and transfer credits Maintains an efficient admission filing (paper and electronic) system, including student folders and DVM program information, to ensure applicants' documentation is easily retrievable and information requests are addressed Carries out all necessary support activities for the admissions process while maintaining a high level of confidentiality Works closely with DVM program analysts and application providers to configure, implement and maintain software to meet specific needs of the admissions process Leads the coordination of the essay writing and multiple mini-interview processes for admission to the DVM program

Qualifications / Requirements:



Completion of a post-secondary program of study required Minimum 5 years in a related role required A combination of education and experience may be considered Experience in student advising or services, particularly in relation to admissions required Advanced skills with Office365 applications, standard web browsers, and the ability to learn other required programs (U of C web-based application, etc.), is required Proven organizational skills and attention to detail, with a high level of accuracy. Ability to successfully manage and keep track of large volumes of applicant inquires and provide accurate advice is required Strong verbal and written communication skills, as well as excellent organizational, analytical, and problem-solving skills is required The ability to build and maintain relationships with other recruiters, outside stakeholders, and 3rd party supports is critical A high degree of discretionary judgment Critical to this role will be an extensive knowledge of University and UCVM policies and procedures, and continual review of operational practices to improve efficiencies. A comprehensive, and current knowledge of the admission procedures at other veterinary faculties in Canada is required Proven organizational, analytical, and problem-solving skills are required. The ability to manage and maintain applicant anonymity in large data sets in required Ability to work under pressure and meeting strict deadlines is required
