General Summary



This position coordinates the flow of documentation from the office to the agents, lawyers and other parties involved in the real estate transaction process. It requires maximum attention to detail and exceptional organizational skills. This person must meticulously consider the details of each contract and the steps and procedures necessary to maintain compliance and have things go smoothly for our clients and agents. You will be engaging with, supporting, and encouraging highly professional individuals to ensure everything is in order, that their work is properly prioritized, and that the brokerage maintains the highest possible standards of practice.

Major Duties & Responsibilities



Follows conveyance procedures as outlined by the Team Lead Reviews documents submitted by agents Responsible for the accuracy of processing the deal files from the time the deal is entered to closing Confirms that all required/mandatory documentation has been submitted to TransactionDesk or whatever transaction management platform is being used by the brokerage Enter all contract data into Lone Wolf Calculates and confirms all data and commission amounts Verifies and enters Trust deposit details in Lone Wolf Ensures that deposits have been received on time and deposited into the Trust account on time & correctly Communicates with the team lead and broker when deposits become past due and other issues arise Notifies and follows up with agents on all missing or deficient items Confirms commissions with co-operating brokerage Sends all conveyance instructions and documents to lawyers for completion Reports outstanding issues to agents and the Managing Broker Tracks all closings and follows up on payments that have not arrived Assists with other administrative duties when they are prioritized by the broker or team lead. Confirms commissions with cooperating brokerage Communicates with all parties involved in a professional friendly manner Tracks all closings and follows up on payments that have not arrived

Education



High School Diploma/GED required

Post-Secondary Paralegal or Administrative studies are strongly preferred

Experience



Computer Experience Essential Must be comfortable working in a high-volume, fast-paced environment Legal Real Estate Conveyancing Experience Strongly Preferred Basic knowledge of the Canadian Real Estate Transaction requirements & provincial processes Knowledge of Lone Wolf, Docusign, Excel, Google Docs is an asset Must be responsible, dependable and trustworthy Must be free of a criminal record and have no lawsuits pertaining to breach of trust or breach of fiduciary duties. Task-oriented, organized, pays attention to details, follows systems, team-worker Ability to build relationships with agents, lawyers, notaries, Managing Broker and other staff Works well under time restraints

Pay: $65,000.00-$75,000.00 per year
