Job Description

We have an exciting opportunity to join Commissionaires Nova Scotia Head office team as our Contracts Coordinator.



The Contracts Coordinator is responsible for managing CNS' federal National Master Standing Offer (NMSO) and Regional Master Standing Offer (RMSO) contract portfolio which provides essential financial and operational contract support, including the management of contract compliance and business networks to foster client growth and revenue.





This position provides essential financial and operational contract support so you'll need to be very adaptable, work proactively between a number of different Head Office functions and have a high level of detail to ensure the NMSO strategic goals are met. The incumbent will be responsible for ensuring compliance with federal and provincial contracts, stakeholder management with an array of key CNS clients, as well as ensuring our contractual reporting needs are met.





Travel throughout Nova Scotia may be periodically required and when required is a condition of employment.

CONTACT / SUBCONTRACT MANAGEMENT




Manage the National Master Standing Offer ("NMSO") and Regional Master Standing Offer ("RMSO") contract portfolio, including drafting, negotiating, reviewing, interpreting, executing the many service requests (call-ups) on this contract.

Provide detailed contract interpretation and analysis to cross-functional teams including People & Culture, Finance, and Operations, helping ensure contract compliance and supporting the fulfillment of service delivery obligations.

Nurture strong client relationships and maximize client satisfaction by conducting regular check-ins and reviews.

Ensure all NMSO and RMSO activities are supported by approved call ups. Monitor NMSO and RMSO client spending against approved call-ups and revising call-ups as needed.

Escalate critical customer issues to the appropriate internal teams, ensuring ownership and resolution.

Preparation of reports as required under the NMSO and RMSO contract.

Identify strategic opportunities for contract renewals, partnerships, and service expansions based on evolving client needs.




RECORDS MANAGEMENT




Maintain organized, accessible, and accurate contract records, tracking key dates and milestones.

Ensure an accessible and up-to-date repository for all contractual documents, available to authorized stakeholders.




PROPOSAL SUPPORT




Collaborate with internal stakeholders to collect information required to respond to RFIs (Request for Information), RFQs (Request for Quotations) and RFPs (Request for Proposals).

Assist as needed in proposal development.

Support pre-proposal planning activities.

Provide recommendations and continuous review to improve bid processes.




Education and Knowledge




i. Education: (Minimum Required): Bachelor's degree in commerce, business administration, finance, procurement, or a related field. Multiple years (15+) of experience in relevant field could be considered in place of a Bachelor's degree.





ii. Certifications:


Ability to obtain a Secret security clearance and/or an RCMP Enhanced Reliability security clearance.

Valid Nova Scotia driver's license.




iii. Skills and Abilities: (Minimum Required)

Superior written and verbal communication skills.

Strong attention to detail.

Strong self-starter and able to work independently with minimal supervision.

Able to effectively prioritize competing demands.

Demonstrated professionalism and sound judgment.

Ability to maintain a high degree of confidentiality.




iv. Professional/Technical Knowledge:


Sound understanding of government procurement processes / public administration.

Advanced MS Office Suite skills, particularly with Word, Excel, PowerPoint, Outlook, and SharePoint.

5 years experience in contracting, procurement, project management, or business consultancy in either the public or private sector.

Experience in the security industry, CAF, or RCMP would be considered a strong asset.
