Job Responsibilities:

  • Draft contracts, providing billing services, legal inquiries, reviewing contract terms and contract amendments using standardized templates
  • Maintain and ensure accurate contract information in relevant database systems
  • Ensure adherence to Contracts Policy and Guidelines during contract administration work
  • Generate regular monthly and one-time client invoices, ensuring accuracy of billing information and adherence to contract terms
  • Enter invoices into the financial system and submit them to clients via email or various client databases
  • Act as the point of contact for client invoicing inquiries and information requests
  • Monitor customer accounts for timely payments, collaborate with Project Managers to collect overdue client invoices when necessary
  • Identify and communicate billing discrepancies or invoicing errors, proposing process improvements
  • Perform due diligence activities, including obtaining insurance certificates, WCB certificates, and relevant corporate searches
  • Collaborate with the Contract Administration Team Lead to provide recommendations, draft non-standard terms, and negotiate non-standard agreements
  • Conduct research to support risk assessment and negotiations
  • Communicate regularly with Managers, Legal Counsel, and Insurance Agents to assess contract risk and ensure compliance
  • Ensure proper review, execution, and approval of contracts by authorized signatories
  • Review Notices and Disclaimers for accurate reflection of contract terms
  • Notify current clients of rate schedule updates for each new fiscal year
  • Assist in the preparation of bid packages
  • Provide backup support for various Office Administration Team tasks, including reception coverage, MSDS Database updates, and other general office duties
Qualifications and Experience:
  • Legal Assistant Certificate or Diploma or Bachelor\'s Degree (e.g., Business or Arts)
  • Must be bilingual (English/French)
  • Minimum of 2 - 4 years of related administrative work experience is an asset
  • Experience in contract law within a corporate/commercial setting, contracts administration, and procurement
  • Self-starter with strong initiative, adaptability, and the ability to prioritize tasks to meet deadlines
  • Strong business judgment and some experience in negotiating contracts
  • Advanced computer skills in Microsoft Office, especially Excel
  • Excellent verbal and written communication skills, along with strong proofreading, editing, and formatting skills
  • Proven customer service experience in dealing with colleagues and clients in a highly professional manner

Responsabilit\xc3\xa9s professionnelles:
  • R\xc3\xa9diger des contrats, fournir des services de facturation, r\xc3\xa9pondre aux demandes juridiques, examiner les termes des contrats et les amendements contractuels \xc3\xa0 l\'aide de mod\xc3\xa8les normalis\xc3\xa9s.
  • Maintenir et assurer l\'exactitude des informations contractuelles dans les syst\xc3\xa8mes de base de donn\xc3\xa9es pertinents.
  • Veiller au respect de la politique et des lignes directrices en mati\xc3\xa8re de contrats lors du travail d\'administration des contrats.
  • G\xc3\xa9n\xc3\xa9rer des factures mensuelles r\xc3\xa9guli\xc3\xa8res et ponctuelles pour les clients, en veillant \xc3\xa0 l\'exactitude des informations de facturation et au respect des termes du contrat.
  • Saisir les factures dans le syst\xc3\xa8me financier et les soumettre aux clients par e-mail ou via diverses bases de donn\xc3\xa9es clients.
  • Agir en tant que point de contact pour les demandes d\'information et les questions sur la facturation des clients.
  • Surveiller les comptes clients pour les paiements en temps voulu, collaborer avec les chefs de projet pour r\xc3\xa9cup\xc3\xa9rer les factures en retard des clients si n\xc3\xa9cessaire.
  • Identifier et signaler les divergences de facturation ou les erreurs de facturation, en proposant des am\xc3\xa9liorations de processus.
  • Effectuer des activit\xc3\xa9s de due diligence, notamment l\'obtention de certificats d\'assurance, de certificats de la CSPAAT et de recherches corporatives pertinentes.
  • Collaborer avec le chef de l\'\xc3\xa9quipe d\'administration des contrats pour formuler des recommandations, r\xc3\xa9diger des clauses non standards et n\xc3\xa9gocier des accords non standards.
  • Effectuer des recherches pour \xc3\xa9tayer l\'\xc3\xa9valuation des risques et les n\xc3\xa9gociations.
  • Communiquer r\xc3\xa9guli\xc3\xa8rement avec les gestionnaires, les avocats et les agents d\'assurance pour \xc3\xa9valuer les risques contractuels et assurer la conformit\xc3\xa9.
  • Veiller \xc3\xa0 l\'examen, \xc3\xa0 l\'ex\xc3\xa9cution et \xc3\xa0 l\'approbation appropri\xc3\xa9s des contrats par les signataires autoris\xc3\xa9s.
  • Examiner les avis et les clauses de non-responsabilit\xc3\xa9 pour refl\xc3\xa9ter correctement les termes du contrat.
  • Informer les clients actuels des mises \xc3\xa0 jour du bar\xc3\xa8me tarifaire pour chaque nouvel exercice fiscal.
  • Aider \xc3\xa0 la pr\xc3\xa9paration des dossiers d\'appel d\'offres.
  • Fournir un soutien de secours pour diverses t\xc3\xa2ches de l\'\xc3\xa9quipe d\'administration du bureau, notamment la couverture de la r\xc3\xa9ception, les mises \xc3\xa0 jour de la base de donn\xc3\xa9es des fiches de donn\xc3\xa9es de s\xc3\xa9curit\xc3\xa9 et d\'autres t\xc3\xa2ches g\xc3\xa9n\xc3\xa9rales de bureau.
Qualifications et exp\xc3\xa9rience:
  • Certificat ou dipl\xc3\xb4me d\'assistant juridique ou baccalaur\xc3\xa9at (par exemple, en affaires ou en arts). Doit \xc3\xaatre bilingue (anglais/fran\xc3\xa7ais).
  • Minimum de 2 \xc3\xa0 4 ans d\'exp\xc3\xa9rience professionnelle administrative connexe est un atout.
  • Exp\xc3\xa9rience en droit des contrats dans un contexte commercial/entreprise, en administration des contrats et en approvisionnement.
  • D\xc3\xa9brouillard avec une forte initiative, une adaptabilit\xc3\xa9 et la capacit\xc3\xa9 de prioriser les t\xc3\xa2ches pour respecter les d\xc3\xa9lais.
  • Bon jugement commercial et une certaine exp\xc3\xa9rience dans la n\xc3\xa9gociation de contrats.
  • Comp\xc3\xa9tences informatiques avanc\xc3\xa9es en Microsoft Office, notamment Excel.
  • Excellentes comp\xc3\xa9tences en communication verbale et \xc3\xa9crite, ainsi que de solides comp\xc3\xa9tences en relecture, \xc3\xa9dition et mise en forme.
  • Exp\xc3\xa9rience av\xc3\xa9r\xc3\xa9e du service \xc3\xa0 la client\xc3\xa8le dans le traitement des coll\xc3\xa8gues et des clients de mani\xc3\xa8re tr\xc3\xa8s professionnelle.
