The Contracts Administrator administers, maintains, and processes customer\xe2\x80\x99s contract data in adherence to the Company\xe2\x80\x99s Policy and Standard. Responsible for understanding and adhering to the specific requirements of the Policy and Procedures of the Quality Management System pertaining to Ricoh Canada Inc. The position also ensures accuracy and performs all customer Master and billing data management.

Job Duties - Responsibilities:

  • Setting up new Business Partners for all the branches
  • Updating existing Business Partners from internal & external customer requests
  • Resolve Customer Issue Logs assigned
  • Daily/Monthly customer master records file reporting.
  • Always ensures the accuracy and quality of Business Partners
  • 100% completion of all tasks assigned within the set deadline
  • Manual meter entry and meter reads electronic uploads into BaaN
  • Process contract audits and validation against paperwork and system
  • Customer Data Record Cleansing
  • Audits all cash sales, leases, rentals, renewals, and exchanges.
  • Processes approved contract cancellations and adjustments.
  • Takes ownership and quick action to research and resolve customer issues.
  • Always ensures the accuracy and quality of billing.
  • Actions reports provided by the Operations Leader
  • Attends project meetings and provides input as required.
  • Leads User Acceptance Testing for system development.
  • Interfaces with auditors to ensure compliance with Company policies and procedures.
  • Supports process improvement initiatives, projects, and CMS
  • Support departmental process documentation, as required
  • Other duties as assigned by management

Qualifications:
  • Post-Secondary Education
  • Minimum of 4 years\xe2\x80\x99 related experience Business Administration
Knowledge, Skills and Abilities:
  • Excellent Customer Service skills
  • Excellent interpersonal, verbal and written communication skills
  • Team player, communicative and self-starter
  • Strong problem solving and organizational skills
  • Demonstrates ability to work effectively with individuals at all organizational levels, both internally and externally
  • Ability to work on and manage multiple priorities simultaneously, work with frequent interruptions and meet established deadlines
  • Strong analytical skills, with the ability to gather and weigh facts and information from many sources, draw conclusions and make recommendations to management
  • Strong attention to details
  • Strong computer literacy BAAN, Microsoft O365, (Outlook, Power Point, Word and Excel)
  • Basic Accounting and Mathematical Skills
  • Accurate keyboarding skills
