The HR Systems Consultant serves as a subject matter expert (SME) in HR processes and technology, with a focus on Core HR and Recruitment systems. This role supports daily system operations, resolves technical issues, and recommends enhancements to improve efficiency and user experience. The Consultant also leads User Acceptance Testing (UAT) for system updates and contributes to HR technology projects. In addition, this role assists with routine reporting and supports various ad hoc initiatives to strengthen HR operations and recruitment effectiveness.
Key Accountabilities
Recruitment Process Support:
Provide expert guidance to clients on recruitment systems and processes, delivering customized, compliant solutions aligned with best practices.
Troubleshooting & Issue Resolution:
Diagnose and resolve system issues promptly, recommending sustainable solutions that align with internal policies and applicable provincial legislation.
System Insights & Continuous Improvement:
Analyze trends within the Oracle application suite to enhance HR processes, elevate the client experience, and proactively identify training or educational needs.
System Optimization:
Continuously assess system functionality and recommend enhancements to improve performance and usability.
IT Partnership & Collaboration:
Work closely with internal and external IT partners to design, refine, and implement HR system solutions that support broader business objectives.
Data Management & Reporting:
Maintain the accuracy and integrity of recruitment data and reporting. Prepare, analyze, and distribute recruitment dashboards and job posting reports for internal stakeholders.
Job Postings & Template Management:
Oversee the accuracy and maintenance of job postings and templates within Oracle Recruitment Cloud (ORC), supporting efficient recruitment workflows.
Advisory Support & Training:
Serve as a trusted advisor by promoting HR system best practices and facilitating training sessions based on business needs.
Project Coordination:
Support the Director on ad hoc HR system initiatives, contributing to planning, coordination, and execution of strategic HR projects.
Qualifications
Education:
Post-secondary education or diploma in Human Resources and/or a related field.
Experience:
Full-cycle recruitment experience with strong knowledge of recruitment and selection practices.
Experience working with Applicant Tracking Systems (ATS) and with ORC is required.
Experience supporting HR or recruitment system administration, including configuration updates, workflow management, and user support.
Hands-on experience conducting User Acceptance Testing (UAT) and validating system changes.
Experience maintaining HR data integrity, performing data audits, and generating system-based reports or dashboards.
Experience contributing to HR technology projects, system enhancements, or module upgrades.
Skills & Abilities:
Strong relationship-building and customer-service orientation
Independent, resourceful self-starter with sound judgment with the ability to manage projects end to end.
Adaptable, results-oriented, and highly organized with excellent time management skills.
Strong written and verbal communication skills; bilingual in English and French is an asset.
Advanced proficiency with ATS platforms, including Oracle Recruitment Cloud (ORC).
Ability to interpret business needs and translate them into system requirements or configuration updates.
Skilled in troubleshooting system issues, identifying root causes, and recommending effective solutions.
Experience creating user guides, training materials, and delivering system training to end users.
Intermediate Microsoft Excel skills (e.g., pivot tables, VLOOKUP).
Experience with Power BI and dashboard creation is preferred.
Effort
This role requires a high level of concentration and analytical thinking to assess situations, validate information, and perform work primarily on a computer.
Physical demands are minimal and typically involve regular keyboarding and occasional walking to attend meetings.
