About the Role
Coordinate fast-turn retail/commercial projects from the officein a collaborative, respectful environment. You'll partner with our Project Manager and Estimator to keep permits, subtrades, schedules, deliveries and documentation on track so field crews can execute safely and smoothly.
Send RFQs, level bids, issue POs, track WCB/COI/Safety. Proactively reach out to build bidder lists and secure 3+ quotes per trade.
Vender & Rentals: Build and manage vender list (subtrades & equipment rentals), negotiate pricing/terms, and lock in delivery/pickup windows.
Scheduling & Controls: Maintain 2-6 week look ahead, track hold points/inspections, manage risk and recoveries.
Field Support: Daily check-ins, RFIs/submittals, photo logs, delivery tickets, change documentation.
Cost & Closeout: Track time & materials, rentals, receipts, compile as-builts, O&M, deficiency lists and closeout packages.
Quality & Safety: Enforce brand/spec standards; ensure toolbox talks/JSAs and documentation are current.
Light Social Media Upkeep: Post basic updates/hires on company pages and keep listings current.
Must Haves
2-5 years in construction coordination (retail roll-outs, TI, or light commercial).
Permits/inspection experiencewith municipalities and utilities.
Plan reading + basic quantity take-offs; work closely with the Project Manager & Estimator to align scope, pricing and schedules.
Able to source sub trades and manage rental vendors; strong pricing and bargaining/negotiation skills.
Proven ability to collaborate with field/client teams to build and maintain schedules (Gantt, 2-6 week look ahead).
Tools: Excel (filters/pivots/lookups), Procore (or similar), MS Project/Gantt, Bluebeam; comfortable with LinkedIn/IG or similar for basic posts.
Organized, proactive communicator; comfortable in a fast-paced office environment.
