Summary:



The Administrative Coordinator plays a vital role in supporting Borealis' day-to-day operations and long-term growth objectives. This position combines administrative, compliance, and fleet management functions, requiring a motivated, detail-oriented individual with strong communication skills and a willingness to adapt in a fast-growing environment. Working closely with branch teams, corporate operations, and leadership, the Compliance & Operations Administrator ensures operational efficiency, regulatory compliance, and a high level of customer service.



Duties and Responsibilities:


Provide administrative support across Operations, Safety, Compliance and Fleet. Maintain safety, inspections, maintenance, and compliance records in alignment with Transport Canada, NSC, and internal policies. Maintain accurate records of all maintenance activities, including repairs, parts replacements, and servicing schedules. Oversee carrier licence requirements, driver compliance (including ELDs), and risk mitigation processes. Coordinate fleet maintenance schedules, monitor usage data, and liaise with vendors and service providers. Support onboarding/offboarding processes, employee training setup, and HR record management. Prepare reports, presentations, and data analysis for leadership review. Monitor facility inspections, log deficiencies, and track action items to closure. Ensure timely communication with internal teams and external stakeholders. Contribute to system integration and updates, and process improvements. Ensure compliance with Fleet Maintenance and Safety Compliance record-keeping procedures. Other duties as assigned.

Qualifications:


Energy industry experience preferred, with knowledge of propane and transportation/logistics considered an asset. Strong administrative and compliance background, with familiarity in ERP/cloud-based systems. Knowledge of safety, risk management, and fleet maintenance programs. Strong Computer proficiency (Microsoft Office, Google Suite). Excellent communication, coordination, and organizational skills. Attention to detail, analytical thinking, and the ability to handle multiple priorities.

Education/Experience Requirement:


High school diploma required; post-secondary education in Business Administration, Compliance, or a technical field preferred. 3-5 years of experience in administration, compliance, or fleet coordination.

Job Type:


Full-time, and a home office set up is required. Mostly remote and requires a good internet connection. Borealis Headquarters is in the cloud. Some on-site (Branch) time will be required for training and monitoring purposes. * Travel to other branches across Canada and the USA may be required.
