Prolux Lighting is a sales agency representing lighting manufacturers for the Alberta commercial market place. Prolux' primary customers are electrical distributors, but our business focus extends beyond to provide lighting expertise to consultants, engineers, architects, and electrical contractors. A Project Coordinator at Prolux works inside the office processing customer purchase orders, working closely with the sales and quotations teams to ensure the product purchased meets the lighting design requirements and budgeted pricing. Coordination involves communicating directly with customers and manufacturers regarding fixture specifications, pricing, production dates, change orders, and onsite delivery details. When issues arise and problems occur the Project Coordinator works with all parties to reach a resolution.
Responsibilities and Duties
Ensure Purchase Orders (POs) are priced correctly and meet manufacturer terms
Enter POs with manufacturers
Schedule and coordinate POs to comply with requested shipping instructions
Expedite POs as required
Facilitate product warranty claims
Prepare approval drawings for customer review
Review returned approval drawings and incorporate changes as required
Respond to customer inquiries and requests
Prepare projects for invoicing
Mediate disputes, representing both customer and manufacturer, as they relate to: PO discrepancies, defective and damaged product, short and misdirected shipments, pricing errors
Qualifications and Skills
Good time management and multitasking skills are key to coordinating multiple projects simultaneously.
Effective problem solving and conflict resolution skills are required for addressing inevitable issues.
Both verbal and written communication skills are required for dealing with customers and manufacturers, as well as for mediating disputes.
Accurate data entry skills in a fast-paced environment
Attention to detail while managing a heavy workload
Experience in the lighting or electrical industries, while not crucial, will be considered favorably.
Familiarity with Microsoft Office (Outlook, Excel, Word)
