Aurora Soccer Club is one of Saskatoon's largest and fastest-growing youth soccer clubs, with over 600 members across Zone 3--from University Heights to College Park. Our mission is to inspire a passion for soccer, foster teamwork and discipline, and empower personal growth through sport. We support players of all skill levels in a positive, community-driven environment.
We are currently seeking a Club Administrator to manage the day-to-day operations of the Club. This full-time role is ideal for someone who is highly organized, proactive, and passionate about community sport and youth development.
Key Responsibilities
1. Registration and Administration
Act as Club Registrar and main point of contact with SYSI and SSA on registration matters.
Organize and administer the full registration process, including payment tracking, financial coordination with the Treasurer, and kit ordering.
Coordinate registration events and evaluation sessions with the Lead Coach/Technical Director.
Maintain accurate membership records, unpaid registration tracking, and volunteer deposit collection.
Prepare and present the annual administrative budget to the Budget Committee.
Schedule assigned practice times and allocated these times in a fair manner to accommodate the needs of all Club teams
Help administrate and maintain safe roster

Safe Sport Roster: Maintain a database of current and past coaches (including qualifications and other information) for coach selection, in collaboration with the Lead Coach / Technical Director
Supply team lists to coaches as requested, listing players eligible to be permitted up to their teams, in consultation with the Lead Coach / Technical Director
Provide administrative assistance in the evaluation process to the Lead Coach / Technical Director
2. Communications and Website Management
Manage all Club communications, including email announcements, website updates, and social media posts.
Coordinate the upkeep and content of the Club's website to ensure timely and accurate information.
3. Volunteer Coordination
Organize Club volunteer recruitment and recognition efforts, including an annual volunteer appreciation event.
Collaborate with the Operations Committee to support volunteer management.
4. Club Meetings and Events
Coordinate scheduling of club events, meetings, and seasonal activities.
Support tournament planning as a member of the Tournament Committee, responsible for team registration and volunteer coordination.
5. Financial and Operational Support
Assist with basic bookkeeping, including dues, invoicing, and expense tracking.
Liaise with vendors, suppliers, and external partners.
Ensure Club compliance with relevant bylaws, policies, and regulatory requirements.
Prepare reports and agendas for Board and committee meetings.
6. Equipment
Arrange for the purchase of all team equipment.
Maintain an inventory of equipment and supplies.
Coordinate the distribution and collection of equipment to/from Club teams including uniform kits.
Facilitate logistical arrangements of equipment and uniforms.
7. Other duties as assigned
Qualifications
Required:
3+ years of administrative, operations, or coordination experience, preferable in a youth sport, non-profit, or membership based organization.
Strong organizational skills with the ability to manage
multiple priorities and seasonal workload peaks
independently.
Proficiency in Microsoft Office, Google Workspace, and other productivity tools.
Collaborative, adaptable, and solutions-focused.
Ability to manage websites, email communications, and social media content, including the ability to independently draft communications and social media posts for approval.
Excellent written and verbal communication skills, with a professional and service-oriented approach when working with parents, coaches, volunteers, and board members
