Role Description: Clinical Concierge Office Assistant Reports to: Medical Director and Lead Nurse Practitioner Birchcliff Medical Concierge (BMC) is a private medical office that provides an exceptional level of service to the employees and families of Birchcliff Energy (BIR). We are seeking a service-oriented medical office assistant that will function to provide expert navigation for our patients and exceptional administrative support for our medical team. The clinical concierge role is critical for elevating patient experiences within our custom-built, medical concierge program. This role in many ways is the face of our organization and must be highly responsive, organized and intuitive. The concierge is largely tasked with making life easier for patients while carrying forward collaborative decisions made by the medical team. This role requires comprehensive administrative research into areas specified by the medical team, as well as significant follow-up and follow-through on patient navigation decisions. The successful candidate will display exceptional diligence, have a service oriented mindset and enjoy the development and execution of projects that enhance patient experiences. Experience in health-care is a must and prior experience in private medicine is preferred. This role is ideal for a licensed practicing nurse (LPN) who has a strong preference for administration, or for a medical office assistant that has great clinical experience. General Administration

  • Welcoming patients and guests as they enter the clinic
  • Daily check and opening of clinic
  • Daily tidying of the space, exam rooms, wiping surfaces, closing doors and ensuring the space is ready for clients throughout the day
  • Answering phone calls/voicemail that come in from patients, vendors or other medical professionals
  • Monitor EMR inbox/concierge email inbox and replying to patient messages/requests
  • Linking incoming faxes to patient chart or clinical needs
  • Linking patient documents
  • Update IH with necessary contacts
o Includes adding and deleting contacts to keep most up to date information
  • Initiating courier for labs when required
  • Monitor EMR personal incoming messaging and completing tasks
o Prescription fills, patient questions, BMC Team questions, Referral coordination, professional contact questions, laboratory requests etc.
  • Reach out to community clinics, practitioners, interdisciplinary teams for information, wait-times, fees and client onboarding approach
  • Managing templates and forms in EMR
o Uploading forms to add to our system o Making each form fillable with patient demographics and physician/clinic information
  • Patient Management
o Ensure complete and accurate registration, including patient demographics, family physician, preferred pharmacy, consent, pictures, etc. o Coordinating patient needs and scheduling appropriately o Receiving and notifying BIR Human Resources for client consents and eligibility o Onboarding all BIR Employees and their families o Monitor schedule to ensure quick response for appointment requests
  • Manage scheduling for BMC Team and Laboratory Services
o Time off, vacation, meetings etc.
  • Meetings - schedule and prepare for meetings
  • Arrange diagnostic imaging bookings for patients. Calling multiple locations if needed to ensure booking time meets or exceeds expectations
  • Facilitate prescription pickup/delivery. Connecting with pharmacies to confirm fax receival and messaging the patient with a confirmation when it is ready
  • Collect lab work as needed, and process accordingly. Schedule courier pickup
  • Connect with APL when needed to add on lab tests to avoid a redraw when needed or to discuss collection requirements if the directory is unclear
  • Connect with BIR Office Services when requested, to facilitate tasks.
Referral Coordination - using professional and personal knowledge of networks and programs:
  • Maintain ongoing tracking and appropriate documentation on referrals to promote team awareness
  • Expedite patient referrals to specialty offices, fax medical records, answer patient and specialty office calls
  • Assemble information concerning patient\'s clinical background and referral needs
  • Provide appropriate clinical information to specialist
  • Review details and expectations about the referral with patients (mostly DI requirement appointments, pre appointment requirements)
  • Find specialists for BMC Team through knowledge of clinics, specialist, and locations
