Job Description

The Clinic Operations Manager is responsible for overseeing the day-to-day operations of the clinic, ensuring the smooth delivery of services while maintaining high standards in patient care, safety, and organizational effectiveness. This role will directly manage key operational areas, including facilities management, health and safety, program development, IT coordination, and quality improvement. The Clinic Operations Manager will also serve as the privacy officer, handle patient complaints, and manage public communications through social media. This position requires a highly organized, detail-oriented, and proactive leader with a strong background in clinic operations, team management, and continuous improvement.

Principle Accountabilities:



Leadership & Team Management



Manage and supervise the Administrative/Program Team Lead, Nursing/BridgeCare Team Lead, and IT Coordinators, providing direction, support, and performance management.

Ensure alignment of team efforts with organizational goals, fostering a collaborative and high-performing work environment.

Provide mentorship and professional development opportunities to team members.

Facilities Management



Oversee the operation, maintenance, and safety of clinic facilities, ensuring they meet regulatory standards and are conducive to optimal patient care.

Coordinate with external vendors and contractors for facility-related services (e.g., cleaning, maintenance).

Monitor and manage facility usage to ensure efficient operations and a welcoming environment for staff and patients.

Health and Safety



Ensure compliance with all health and safety regulations and guidelines within the clinic.

Develop, implement, and regularly review safety protocols to maintain a safe environment for staff, physicians, patients, and visitors.

Conduct periodic safety audits and assessments, addressing any issues identified.

Program Development and Monitoring



Lead the development and implementation of clinic programs, ensuring they meet the needs of the patient population and align with organizational goals.

Monitor the effectiveness of clinic programs, making recommendations for improvements based on data and feedback.

Work closely with clinical and administrative teams to ensure smooth delivery and continuous improvement of services.

IT Oversight and Development



Oversee clinic IT systems and ensure they support operational needs effectively and securely.

Collaborate with the IT team to implement new technologies, enhance system functionality, and ensure data security.

Quality Improvement Planning



Develop, implement, and monitor the organizations quality improvement plan.

Analyze clinic performance data, identify areas for improvement, and implement evidence-based strategies to enhance patient care, operational efficiency, and staff engagement.

Coordinate with relevant teams to ensure successful execution of quality improvement initiatives.

Patient Complaints



Serve as the primary point of contact for patient complaints and concerns, ensuring timely resolution and appropriate follow-up.

Analyze trends in patient feedback and complaints, identifying opportunities for improvement and ensuring patient satisfaction.

Privacy Officer



Fulfil the responsibilities as defined in legislation as the Privacy Officer for the organization

Ensure clinic compliance with privacy laws and regulations related to patient information

Develop and implement policies and procedures to safeguard patient privacy and confidentiality.

Conduct training for staff on privacy and security protocols.

Additional Responsibilities



Weekend On-Call BridgeCare Support (Rotating) Other duties and projects as assigned by the Executive Director.

Knowledge/Experience/Competencies

:

Current Regulated Health Professional (Preferred)

Minimum of 5 years of experience in healthcare operations management, including leadership experience in a clinic or healthcare setting.

Proven ability to manage diverse teams and foster a collaborative, high-performance culture.

Strong knowledge of healthcare regulations, quality improvement processes, and privacy laws.

Excellent organizational, problem-solving, and time-management skills.

Exceptional communication and interpersonal skills, with the ability to interact effectively with staff, patients, and external stakeholders.

Experience with IT systems in a healthcare setting and an understanding of how technology can support operational efficiency.

Proficiency in Microsoft Office Suite and electronic medical records.

Job Types: Full-time, Permanent

Pay: $90,000.00-$95,000.00 per year
