Clinic Manager role at a thriving physiotherapy practice
Salary: $68,000-$75,000
Start Date: Between mid-December and mid-January
The Cheerful Pelvis is a woman founded and led pelvic health physiotherapy clinic changing the game for practitioners and clients. We include our admin team in all our development because they are the heartbeat of our clinic and central to our teams performance and the client experience with us.
Role:
As clinic manager, you ensure our front desk offers exceptional service to our clients, from their initial contact with us, until they graduate from physio. You set the tone for our clients sense of comfort at the clinic, and create a cheerful, supportive working environment for your admin team and our practitioners.
You manage our wider operations such as facility maintenance, back end admin, and any ops tasks associated with the clinic's ongoing growth. You work closely with the Clinic Director and Founder, and directly manage our small team of client care coordinators.
The role is salaried with a mix of front desk customer service and off desk operations and management. As the clinic continues to grow, so will the admin team. This role will remain a flexible hybrid of direct customer service and management.
Details:
Full time (40 hrs a week)
Approx 20 hours on front desk (will vary based on schedules and staffing)
4 weeks vacation in addition to clinic closing over the Christmas / NYE holidays

Responsibilities:
Set the standard for excellent customer service for our admin team including booking, billing, waitlist management and all client communications
Positively resolve any challenges escalated from admin staff
Train, manage and support the admin team in their roles - it's essential that all staff feel strongly supported, seen and appreciated at The Cheerful Pelvis
Coach and manage any performance issues in admin team - we have a high standard and want people to be continually learning and growing with us
Work alongside the leadership team to continually refine and improve our customer service and operations
Manage our clinic schedule and all the back end Jane logistics for the team
Track KPI's
Manage all our direct billing, invoicing, and liaise with bookkeeping to maintain accurate records
AR
Report concerns, ideas and successes to the leadership team and bring your perspective to problem solving and new clinic projects and policies
Ensure the clinic maintains impeccable standards of cleanliness and tidiness (overseeing cleaning staff, plant caretakers and admin responsibilities, and liaise with building manager as needed)

Experience required:
Minimum 1 year of management experience including recruitment, onboarding, and performance reviews
Minimum 2 years of administrative customer service experience, ideally using JaneApp
Highly competent in managing CRM's (ideally JaneApp) for a team
Highly competent using google sheets
Experience in establishing, rolling out, monitoring and refining new administrative systems
