We are currently seeking a
Clinic Manager
to join our leadership team. This role is ideal for someone who is highly organized, emotionally intelligent, and proactive, with strong people-management skills and a heart for fostering structure and growth within a therapy-centred environment.
Job Summary
The
Clinic Manager
plays a key leadership role in ensuring the daily operations, systems, and people of the Centre function smoothly and efficiently. Reporting to the Clinical Director and People & Operations Manager, this position bridges clinical and administrative teams -- ensuring processes are optimized, staff feel supported, and the Centre's standards of excellence in client care are consistently met.
This is a full-time, onsite leadership role at our Mississauga location.
Key Responsibilities:
Operational Leadership
Oversee the daily functioning of the Centre, ensuring all administrative, scheduling, and client-facing systems run smoothly.
Monitor workflows, identify inefficiencies, and implement process improvements.
Support the front desk as needed and ensure client interactions reflect professionalism and care.
Team Supervision and Development
Supervise and mentor the onsite administrative team, fostering accountability, initiative, and continuous learning.
Conduct regular team check-ins, provide feedback, and lead team meetings focused on clarity and motivation.
Ensure adequate coverage, balanced workloads, and strong communication across all admin and therapist teams.
Therapist and Client Support
Maintain clear, supportive communication between therapists, clients, and leadership.
Oversee therapist scheduling, onboarding, and transitions.
Address client or therapist concerns promptly and professionally, escalating as needed.
Change Management and Continuous Improvement
Plan and implement operational and procedural changes with clear communication and follow-up.
Conduct quality checks after changes to ensure team understanding and consistent adoption.
Lead initiatives that enhance efficiency, service quality, and team morale.
Planning and Strategy
Review key metrics to identify trends and inform decision-making.
Collaborate with leadership to align operations with organizational goals.
Anticipate resource needs, manage supplies, and maintain operational readiness.
Education
Bachelor's degree preferred (Business, Healthcare Administration, Psychology, or related field).
Additional coursework or certification in Leadership, Human Resources, or Operations Management is an asset.
Experience
1-2 years of experience in an office or management role, ideally within a healthcare, wellness, or professional services environment.
Proven ability to lead teams, manage systems, and balance empathy with structure.
Familiarity with Jane App, Microsoft Office, and digital task management tools (e.g., Asana) preferred.
Additional Assets
Understanding of CRPO standards and psychotherapy practice operations.
Training or experience in change management, staff development, or quality improvement.
