We're hiring an experienced and dedicated Clinic Manager to run the day-to-day clinic, support our physicians, manage our staff, and make sure patients get a smooth, positive experience throughout. The ideal candidate will have a strong background in medical office environments, with a focus on delivering exceptional patient care while ensuring efficient clinic management. This role requires a proactive leader who can effectively supervise staff, manage budgets, and maintain compliance with healthcare regulations.
Key Responsibilities
1) Patient Experience & Clinic Operations
Run daily clinic operations and keep patient flow moving (reception, triage, wait times, service and other patient service activities)
Oversee optimization of physician schedules, coordinate staff coverage and support
Collaborate with doctors to improve patient flow, documentation, billing, and systems.
Support Doctors with Patient Panel management
Set clinic policies and Standard Operating Procedures (SOP), complying with AHS policies
Act as escalation point for internal or patient needs, and support at peak times
2) People Leadership & Culture
Hire, onboard, train, coach, and support MOA/front-desk staff.
Plan staffing and shifts; manage attendance and cross-training.
Set clear expectations, give regular feedback, and handle performance management
Build a friendly, patient-first team culture.
Ensure payroll, staff management and other people-activities are compliant within Alberta's law
3) Clinic Management:
Communications:
Keep management informed through regular, proactive communications
EMR administration
: Manage users and roles, templates and forms, e-fax/e-referrals, and light troubleshooting. (Experience with AVA EMR is an asset.)
Facilities & compliance:
Arrange maintenance and repairs; keep equipment in working order; ensure privacy (HIA), infection control, and safety practices are followed; handle incidents/complaints and emergency readiness; manage IT support
Financial Management:
Support budgeting, tracking, reporting and implementing actions to stay on track and increase profitability; manage bills, vendors, and contracts; handle ordering and inventory; support payroll and tax payment process, in collaboration with accounting team.
Performance Management (KPIs):
Track financial (revenue, cost, profitability) and operational key metrics (access, cycle time, no-shows, panel size, billing totals); keep dashboards and analyze trends; improve processes; automate routine tasks (forms, messages, recalls).
Requirements
Develop and act with a 'business-owner-operator' mindset
Education:
Diploma in business administration, or Medical related field (or an equivalent mix of education and experience). A nursing background is beneficial but not mandatory.
Experience
: 5+ years in a medical clinic or similar healthcare operations role, including staff supervision and scheduling, and financial management.
Technical:
Comfortable with EMRs (AVA an asset), email/office tools (Docs/Sheets or Word/Excel), and basic spreadsheets/reports.
Knowledge & skills:
Working knowledge of Alberta HIA privacy rules and basic infection-prevention/safety; strong communication and organization; patient-service mindset.
Language:
Other languages (Spanish & French) are an asset
Work Location:
On-site at Marly Medical, Calgary, Alberta (T2N 1B9).
