The Clinic Coordinator is a vital member of our healthcare team, responsible for ensuring the smooth and efficient operation of our medical facility. This role involves administrative support, patient coordination, and collaboration with healthcare professionals to provide exceptional patient care. The ideal candidate will possess excellent organizational skills, strong interpersonal abilities, and a commitment to maintaining high-quality service standards.
Key Responsibilities:
1. Patient Coordination:
- Greet patients and visitors in a warm, friendly manner.
- Schedule patient appointments and manage the clinic's calendar.
- Conduct follow-up calls to confirm appointments and provide reminders.
- Ensure efficient patient flow throughout the clinic.
- Collect and verify patient information and insurance details accurately.
2. Administrative Support:
- Maintain and update patient records and databases in compliance with HIPAA regulations.
- Assist in the development and implementation of clinic policies and procedures.
- Handle incoming calls, emails, and correspondence in a professional manner.
- Process payments, billings, and insurance claims as necessary.
3. Team Collaboration:
- Work closely with physicians, nurses, and administrative staff to provide seamless coordination of care.
- Assist in the training and onboarding of new staff members, providing guidance on clinic processes.
- Participate in staff meetings, contributing ideas for improving clinic efficiency and patient experience.
4. Facility Management:
- Ensure the clinic environment is clean, organized, and compliant with health and safety regulations.
- Assist in the ordering and inventory management of medical supplies and office equipment.
- Collaborate with maintenance staff to ensure equipment is functioning properly.
5. Customer Service:
- Address patient inquiries and concerns promptly and professionally.
- Provide exceptional service to patients and their families, fostering a welcoming atmosphere.
- Gather patient feedback to enhance service quality and identify improvement areas.
Qualifications:
- High school diploma or equivalent; associate or bachelor's degree in healthcare administration or related field preferred.
- Previous experience in a medical office or healthcare setting is highly desirable.
- Strong knowledge of medical terminology and healthcare processes.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and electronic medical record (EMR) systems - Telus PS Suite.
- Excellent organizational, multitasking, and time-management skills.
- Strong verbal and written communication skills.
- Demonstrated ability to work effectively in a team-oriented environment.
- Compassionate, patient-centered approach with a commitment to excellence in customer service.
- Bilingual
Work Environment:
- Primarily an office environment within a medical facility.
- May require standing for extended periods and occasional lifting of supplies or equipment.

Pay: $19.00-$21.00 per hour
