between scheduling, patient inquiries, insurance communication, and administrative duties. You will play a critical role in ensuring smooth clinic operations, clear coordination between patients and practitioners, and timely handling of MVA and WSIB documentation.
This role requires strong organizational skills, attention to detail, and the ability to work efficiently in a fast-paced clinical environment while maintaining a professional and patient-focused approach
Duties

Answer and manage a high volume of incoming calls in a professional and friendly manner
Book, confirm, reschedule, and cancel appointments using
Universal Scheduling
Manage
MVA and WSIB files
, including opening files, follow-ups, and documentation coordination
Communicate with insurance companies, lawyers, case managers, and adjusters
Greet patients, handle check-in/check-out, and provide excellent front-desk service
Process payments, verify insurance coverage, and explain clinic procedures to patients
Manage clinic emails, faxes, and referrals in a timely manner
Coordinate schedules between physiotherapists and other practitioners
Maintain accurate and confidential patient records in compliance with privacy regulations
Perform daily administrative tasks and support overall clinic operations
Effectively
multi-task
in a fast-paced environment while maintaining accuracy and professionalism
Experience & Requirements
Minimum
1-2 years of experience
as a
Clinic Administrator / Medical Office Administrator
Previous experience working in a
physiotherapy, rehabilitation, or medical clinic
Hands-on experience with Universal Scheduling
(required)
Solid knowledge of
MVA and WSIB files
, including booking, documentation, and insurance communication
Proven ability to
answer a high volume of phone calls
professionally and efficiently
Strong
multi-tasking
skills in a fast-paced clinical environment
Comfortable using computers, EMR systems, email, and fax
Excellent verbal and written communication skills in English (Farsi is an asset)
Strong organizational skills, attention to detail, and time management

Pay: $17.81-$22.33 per hour
