(www.dynamichealthservices.ca) is an expanding private psychology and psychotherapy practice located in Halifax, Nova Scotia. We are a specialized psychotherapy centre, with a dedicated and skilled team, committed to providing effective patient centred care for adults and young adults.
Reporting to the Clinical Director, the Clinic Administrator will provide high quality administrative, secretarial, and organizational support to the psychology practice and clinical team. Responsibilities include, but are not limited to:
Liaises with patients, families, staff and stakeholders in a courteous and professional manner.
Oversee monthly payroll, including checking and submitting hours for timely processing.
Answers telephone/e-mail inquiries, relays messages and information accurately by referring inquiries when required, with follow up, as appropriate.
Prepares patient charts, maintains office filing system, forms and records to ensure efficient storage and retrieval of material. Processes incoming/outgoing mail.
Drafts and send professional letters and documentation.
Coordinates schedules of patient appointments for the Psychology Practice.
Responds to appointment cancellations and facilitates re-booking.
Liaise and develop relationships with third-party partners.
Facilitating and managing clinic billing and payments with external partners.
Registers patient appointments for the Psychology Practice.
Manages and maintains patient database(s) and is responsible for data entry; manages inventory of clinical assessment materials and supplies and places orders as required.
Handles sensitive information, maintaining confidentiality.
Additional duties as required.
Hours of Work
Monday to Friday, 45 hours bi-weekly
Qualifications
Minimum High School Diploma or G.E.D. required.
Graduate of a recognized Secretarial/Office Administration Diploma Program preferred
Minimum twelve (12) months related administrative experience required.
A combination of equivalent education and experience may be considered.
Working knowledge of Microsoft Office and other computer programs/technology required.
Demonstrated excellent interpersonal and communication (verbal and written) skills required.
Demonstrated initiative; self-motivation and ability to work independently with minimal supervision required.
Proven ability to work collaboratively and consultatively with team members and stakeholders required.
Proven time management, organizational, and problem-solving skills required.
Must be able to multi-task and prioritize workload.
High regard for quality, attention to detail, and flexibility to meet workload demands required.
Knowledge of file management software an asset.

In-person at our Young Street, Halifax location.
Monday to Friday, 9:00-1:30

Pay: $20.00-$23.00 per hour
