Reporting to the Managing Director and Vice President of Operations, (and/or other designated person), this role is based in the Downtown Toronto office, and provides daily real estate administrative support in a fast-paced environment. As a Client Services Coordinator (\xe2\x80\x9cCSC\xe2\x80\x9d), you will provide sales, marketing, and research support along with general office administration to your broker team and clients. Your responsibilities will be an exciting mix of presentation support, listing and offer preparation, property marketing and client reporting, conducting market research and transaction administration. Responsibilities:
The key responsibilities of the Client Services Coordinator include, but are not limited to, the following:


ADMINISTRATION:

  • Provide administrative support for internal and external correspondence including calendar and file management

LEASING:
  • Participate in broker-driven activities to promote business development
  • Assist with financial analysis templates/data entry
  • Prepare written service proposals
  • Facilitate communication between decision-makers, property owners and other stakeholders in the commercial real estate industry
  • Preparation, control, and maintenance of legal documents (letters of intent, offers, proposals, commission agreements, listing agreements, amendments, waivers, extensions, and Multiple Listing Services agreements) throughout the deal and due diligence process
  • Maintain and review property listings and manage expiry dates and prepare required documentation
  • Maintain records of correspondence for property listings with agents and update client reporting as required
  • Coordinate deal processing with agents and Accounting Department
  • Schedule meetings, appointments, property tours and travel plans
  • Proofread copy for spelling, grammar and layout making appropriate changes; responsible of accuracy and clarity of final copy
  • Work closely with agents on various initiatives and special projects

MARKETING:
  • Organize, create, prepare and produce customized marketing materials as well as client-specific packages, presentations, and proposals
  • Assist with preparation, coordination and assembly of marketing materials for property listings, including brochures, invitations, signage, and announcements InDesign, while maintaining the Avison Young brand throughout all projects.
  • Update listings on Avison Young website and other locations as advised
  • Research and design space maps tailored for clients on Adobe InDesign and PowerPoint

RESEARCH:
  • Coordinate property availability surveys and other applicable research collateral
  • Conduct market information research through various sources including CRM and third-party databases such as MLS, Altus, CoStar, AVANT, etc.
  • Update CRM database with current market and client information
Qualifications:
  • College or University Degree in business administration, marketing or related
  • 3 or more years experience in the real estate industry, preferably in a brokerage office
  • Proficient in Microsoft Word, Excel, PowerPoint and Adobe Creative Cloud \xe2\x80\x93 InDesign, Photoshop
  • Experience working with CRMs and web-based resources
  • Excellent listening, writing and researching skills
  • Ability to communicate efficiently and keep a team of brokers well organized and pro-active
  • Ability to prioritize work and deliver to tight deadlines
  • Real Estate License is an asset
