Beauty Room is an established medispa known for personalized treatments and an elevated client experience. We're looking for a
Client Care & Spa Coordinator
who is warm, detail-oriented, and experienced in spa operations--someone who can ensure every client interaction is seamless, and who can support our digital presence behind the scenes.
You'll be a key part of the team, ensuring the spa runs efficiently while also contributing to marketing efforts like Instagram content, Canva design, and email campaigns. If you love skincare, understand spa culture, and are equally comfortable greeting clients and building out a social post--this is for you!
What You'll Be Doing
Greet and check in clients, creating a professional and welcoming experience
Respond to phone calls, text messages, emails, and DMs with clarity and professionalism
Maintain accurate scheduling in booking software and handle appointment confirmations and changes
Manage intake forms and ensure client records are kept up to date
Support the spa owner with administrative duties including inventory, schedules, supplier coordination, and promotional planning
Keep the spa clean, organized, and ready--reception, treatment rooms, bathroom, and staff areas
Assist service providers between appointments as needed
Capture and curate photo and video content for Instagram Stories, posts, and Reels
Assist with creating branded content in Canva and help execute email marketing campaigns
Who We're Looking For
Minimum
2 years' experience
in a medispa or high-end spa (required)
Excellent communication skills (both verbal and written)
Strong customer service background and ability to remain calm under pressure
Highly organized and able to manage multiple priorities
Comfortable using booking and POS software; proficient in Microsoft Word and Excel
Experienced with Instagram, Canva, and email marketing tools (e.g., Mailchimp)
Fluent in English (spoken and written); French not required
Reliable, punctual, and solutions-oriented
A polished, professional presence and passion for the beauty/wellness industry
