Client Care Administrator

About the Role
This
part-time, in-person role
at Life Collective blends client care support and administrative assistance.
Reporting to the Office Manager,
you will serve as the first point of contact for clients while supporting the Office Manager and Clinical Director in day-to-day operations. Responsibilities include client care support, insurance processing, scheduling, workshop preparation, and supporting podcasts with the Marketing Coordinator. Curiosity about Life Collective's unique voice, work culture, and the mental health industry is essential for creating a safe and welcoming space for clients and staff alike.
Key ResponsibilitiesClient Care
Be the first friendly point of contact for clients via phone and email
Manage client scheduling, intake, and referrals using Jane
Process payments, issue receipts, and handle insurance billing
Keep client files accurate and organized
Maintain a calm, professional, and welcoming environment
Administrative Support
Support the Office Manager and Clinical Director with day-to-day clinic operations
Assist therapists with scheduling and document coordination
Help with workshop preparation, handouts, and light event logistics
Organize supplies, track office inventory, and liaise with vendors

Required Qualifications
Mature, grounded, and emotionally intelligent - comfortable working in a clinical and confidential setting
Proficiency with Google Workspace
Interest in mental health, psychology, or therapy environments
Criminal record and child welfare checks required
Bonus Assets
A good eye for design - you might help with light document formatting or step in to make a social media post
Experience using Canva or Google Workspace (but no social media management required)
Experience with Jane or similar scheduling software
Background in customer service, healthcare, or wellness
