Demands, duties, qualifications

Reporting to the Provincial Manager of Career Development with dual responsibility for Career Development and Culture & Retention you will have the opportunity to be part of building a new department from the ground up in a supportive and people-focused team environment with enthusiasm for building something new and supporting employee growth & development, team culture and staff engagement. You will support a variety of human resources functions that involve confidential and sensitive information. You will support the daily administrative Career Development and Culture & Retention activities through:




- Support data collection, tracking, and analysis related to retention, culture, career development and overall program outcomes.


- Collaborate across departments to support culture and retention activities aligned with broader Human Resources strategies.


- Coordinating and supporting departmental activities such as scheduling events, drafting educational opportunities, responding to inquiries


- Development of reports, key performance indicators and data related to the evaluation of programs and initiatives.


- Monitoring and reporting on contracts.


- Preparing, tracking, and distributing documentation as required.


- Scheduling and coordinating meetings, taking minutes, preparing documents and training requests with internal and external stakeholders.


- Managing electronic HR files, archiving, and performing records maintenance when required.


- Providing administrative support including, but not limited to, filing, creating purchase requisitions, coordinating calendars, and routing requests.


- Working within the administrative team and supporting coverage as necessary.




Qualifications:


- Two-year Diploma in Office Administration


- Minimum of two years' experience providing administrative, coordination or program support services, preferably supporting HR departments or other highly confidential environments within healthcare or other public sector environments.


- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Teams, etc.), and design tools (Adobe Pro, Canva).


- Experience with data collection, organization, and basic analysis (Excel, SurveyMonkey, or similar platforms) would be considered an asset

- Strong written and verbal communication skills, with demonstrated ability to write clearly and design simple, effective visual materials.


- Self-motivation with excellent time management and organizational skills with an ability to manage multiple tasks and timelines in a fast-paced, collaborative environment.


- Ability to develop and maintain effective working relationships


- Enthusiasm and initiative to take on tasks and job duties


- Ability to work independently as well as part of a team


- Strong analytical and problem-solving skills


- Strong understanding of privacy, confidentiality, and access concerns


- Ability to deal with sensitive information using excellent judgement, diplomacy, and discretion
