QUALIFICATIONS




Grade 12 education (MB Standards) Three (3) years of clerical experience in a Health Care setting within the last five (5) years Other combinations of education and experience may be considered Province of Manitoba Class 5 Drivers License, and access to a personal vehicle to provide service within Prairie Mountain Health Proficiency with Microsoft programs (Outlook, Word, Excel, Access and PowerPoint), as well as Internet applications and other Information Technology Knowledge of computerized inventory management software Knowledge of computerized maintenance management software Accurate keyboarding skills, with minimum 50 wpm Familiarity and skill in current office technology and equipment Demonstrated organizational skills, and the ability to work independently Demonstrated communication skills Demonstrated flexibility to facilitate changes in techniques and procedures Ability to display independent judgment Ability to respect and promote a culturally diverse population Ability to respect and promote confidentiality Ability to perform the duties of the position on a regular basis

POSITION SUMMARY




The Clerk III - Maintenance provides clerical and administrative support functions for Maintenance. The Clerk III - Maintenance functions as an integral part of the Health Care Team and performs all duties in accordance with the Mission, Vision, Values, Policies and Procedures of Prairie Mountain Health. The incumbent works closely with the Area Manager North Capital & Infrastructure, Supervisor Maintenance and Chief Engineer to provide support services to other maintenance personal as may be required.


RESPONSIBILITIES:




Overview:




Keeps the Area Manager North Capital & Infrastructure, Supervisor Maintenance and Chief Engineer apprised of all pertinent information regarding the functions within the department.

Responsible for e-mail correspondence, incoming/outgoing mail and faxes distribution and preparation.

Maintains work areas in a clean, safe and orderly condition.

Administers all required aspects of the regional maintenance management system.

Communicates and ensures that consideration is given to patients and staff by notifying them when services are to be interrupted, when work is to be done and when work has been completed.

Purchases and keeps records of related materials and parts as required.

Responds to all invoices returned with incomplete information, pricing discrepancies, and reconciles variance reports.

Performs a variety of office functions including all aspects of accounting, record keeping, staff scheduling, computerized reporting, preventative maintenance systems, purchasing, receiving materials, workplace safety, work order systems, inventory, energy management systems, as well as answering phone requests and submitting work orders.

Understands basic operation of the department as it relates to facility maintenance.

Other duties as assigned.
