Position Summary
Reporting to the Manager, Supply Services, the successful candidate for this temporary, full-time position will provide both technical and informational help desk support to Division staff.
Job Duties/Responsibilities
ensuring accurate supply charges are distributed to decision units on a biweekly or monthly basis
maintaining and updating Division staff employees and supply staff profiles in SmartFind
providing technical and informational support to Division staff through the Supply Services Help Desk
ensuring accurate payments and related charges for staff orientations and relevant training courses
monitoring, analyzing and reporting data pertaining to Fitness to Work and Action Requests for teaching staff, support staff, custodial staff and supply staff to determine if adjustments are required to placements, payments and distribution of charges for supply staff
providing information to Employee Health Services and/or Staffing if adjustments to dates or FTEs are required, including comparing data from SmartFind and the Time Recording System (TRS)
updating SmartFind profile information related to hiring, FTE changes, transfers, return from leaves, administrative placements, contracts, temporary biweekly status, reclassifications and changes to absence reason codes
processing amendments related to staff payment and charges
processing, analyzing and dispersing the biweekly and monthly Cost Allocation reports related to all supply support staff charges
verifying supply payroll information and comparing information from Action Requests and Business Processing Edit reports to identify discrepancies from time and absence entries
making adjustments to pay and charges for supply staff
acting on and responding to the constant flow of e-mail requests for adjustments to be made in SmartFind and/or TRS
assisting the Manager of Supply Services by running reports from PeopleSoft and/or SmartFind, working with data in excel spreadsheets and google docs to maintain and back up the SmartFind system
Education/Qualifications
a one year Certificate in Human Resources Management
experience working with PeopleSoft or another major HRMS system
knowledge of collective agreements and Division policies and procedures
Microsoft Office, Google Workspace
excellent MS Excel skills
Rate of Pay
$24.08 - $30.54 per hour
