Clerical Assistant
Primary Purpose: Reporting to the Associate Deans of the undergraduate and graduate programs, this position is the first point of contact for the College of Pharmacy and Nutrition, working to ensure effective operation of the College office, and to support staff and students. The position works independently and exercises judgment within established guidelines. The work is complex in nature and requires prioritization due to competing deadlines and frequent interruptions. Work is conducted in a busy, high-volume environment, where efficient and effective communication and positive interrelationships with students, faculty, staff, and the public are essential.
Nature of Work: The successful applicant will be located the College of Pharmacy and Nutrition main office (HLTH 2A20). They will work closely with staff and faculty and will be located at the front reception desk. Work hours are Monday to Friday from 8:00 to 4:30. Responsibilities are varied and require flexibility and effective time management.
Typical Duties or Accountabilities: This position provides clerical support to the general office and the Research and Graduate Affairs office in the College of Pharmacy and Nutrition. Duties include general reception, communication (e.g., email distribution, answering questions), meeting support (doodle polls, room booking), supporting faculty and staff (access, courier, printing, loans of college equipment, etc), and general maintenance (e.g., supplies, facilities requests, updating College lists and records).
Qualifications
Education: Completion of Grade 12 and a secretarial diploma from a recognized post-secondary institution. Knowledge of university processes and programs will be an asset.
Experience: Two to five years of office experience in the USask setting is preferred.
Skills: Effective interpersonal and communication skills, written and verbal; proficient proof-reading skills; demonstrated ability to maintain attention to detail, apply critical thinking skills and retain information on policies and processes; effective organizational and time management skills; proven ability to work efficiently on multiple projects with competing demands, meet deadlines and work independently with minimal supervision; a high level of proficiency with Microsoft Office software (including Word and features such a mail merges, Excel, PowerPoint).
