Position Overview
This role is ideal for someone who:

You will be the first point of contact for patients and an essential part of our clinic's daily operations.
Key Responsibilities
Front Desk Excellence
Provide warm, professional greetings to all patients
Manage check-in/check-out accurately and efficiently
Handle multi-line phone calls, voicemails, and appointment confirmations
Maintain a polished and organized front desk at all times
Scheduling & Patient Flow
Schedule, adjust, and optimize appointments to maintain full practitioner schedules
Use waitlists effectively and proactively fill last-minute openings
Ensure accurate rebooking and follow-up communication
Administrative Accuracy
Process payments and direct insurance billing (WSIB, MVA, extended benefits)
Maintain accurate patient records and documentation
Complete daily administrative tasks including email, text-to-pay, reminders, and filing
Support practitioners with administrative needs to keep the clinic running smoothly
Professional Standards
Uphold confidentiality, accuracy, and punctuality
Follow clinic protocols and workflows consistently
Communicate clearly with patients and team members
What We're Looking For
Required
Strong customer service and communication skills
High level of professionalism in person and over the phone
Ability to multitask and stay organized under pressure
Reliable work ethic and consistent attendance
Comfortable with computers, scheduling software, and payment systems
Preferred
Medical or dental office experience
Insurance billing knowledge (WSIB, MVA, extended health benefits)
Experience managing a busy front desk or multi-line phone system
