The Case Coordinator, under the general direction of the Director of the Centre for Graduate Mentorship & Supervision (CGMS), collaborates closely with graduate students, supervisors, and other stakeholders to ensure the confidential handling of intakes, informal resolutions, and consultations involving concerns or complaints related to graduate supervisory relationships across the University. This role entails addressing incidents of bullying, harassment, discrimination, sexual violence, personal safety, and unprofessionalism within graduate supervision relationships. The incumbent is well-versed in the University\'s and School of Graduate Studies regulations and policies as well as relevant policies and laws, including the Occupational Health & Safety Act and the Ontario Human Rights Code, and works with various university departments and offices to ensure a consistent approach to case management.
Key responsibilities include providing a wide range of resources to stakeholders, from consultations on supervisory best practices to case management for complex, multi-party complaints requiring the participation of multiple stakeholders. The Case Coordinator actively manages intakes and informal resolutions, collaborating with complainants to determine possible pathways for addressing concerns or complaints. They also provide expert advice and recommendations for handling matters involving supervisors and graduate students, such as sexual misconduct, personal safety, and professionalism incidents.
In terms of outreach and training, the Case Coordinator liaises with appropriate university resources like the Community Safety Office, Centre for Sexual Violence Prevention and Support, and Student Crisis and Academic Progress. They develop training materials on policy and processes related to their portfolio in collaboration with key stakeholders, contribute to educational materials on health and safety issues, and develop and deliver skill enhancement workshops on communication, conflict, and supervisory best practices to graduate units, faculty, and students.
The Case Coordinator is responsible for information management, participating in the preparation and presentation of reports and statistics on cases as required, and researching and monitoring evolving best practices in graduate education supervision. They support data and confidential records management for intakes, complaints, and resolutions, adhering to legal requirements and best practices in record-keeping. Additionally, they develop, coordinate, and maintain contact lists and engage with other post-secondary institutions to research best practices.
Education and Qualifications:
Undergraduate degree in a related field (e.g., Social Work, Law, Psychology) or an equivalent combination of education and experience. Certification or Experience in Conflict Resolution or Alternative Dispute Resolution an asset. Graduate degree preferred.
The ideal candidate for this role should have at least 5 years of relevant experience, including informal resolution and case management, with a focus on natural justice and procedural fairness. They must have a familiarity with case management software, and excellent oral and written communication abilities. They should be capable of handling sensitive situations professionally and maintaining confidentiality, while demonstrating adaptability and attention to detail in a high-volume work environment.
