Nature of the Work & Responsibilities




NATURE OF THE WORK:




The principal and customary work of the employee in this employment class consists in performing a set of administrative functions of a relatively complex nature according to established methods and procedures and clerical functions related to activities in his area.


RESPONSIBILITIES:




As part of a team, responsible for public facing reception Supports the credit division Professional and Administrative Technician with admissions critical path, student dossiers, and other administrative dossiers. Communicate program information to the public Communicate with students and faculty on various topics, including scheduling, evaluations, surveys, etc. Provide support and information to faculty and students Prepares invoices and other administrative support to Services Quebec cohorts and students. In collaboration with Purchasing department, order, receive, and circulate books, materials and supplies Organize receptions, events and presentations Prepare and distribute various documents such as orientation packages, awards/certificates and other materials and follow-up as required Assist with the registration process for programs and cohorts Coordinate admissions testing and interviews (i.e. scheduling, contacting students, booking rooms, administering and invigilating exams and preparing spreadsheets of exam results) Organize and maintain contact information databases, mailing lists and departmental records Prepare various forms, requisitions and vouchers for the sector Perform other related tasks as assigned by supervisor





Qualifications & Conditions




QUALIFICATIONS:




To have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority and have at least one (1) year of pertinent experience.


CONDITIONS:




Proven advanced customer service skills, with experience at reception desks or service counters Excellent organizational skills, with experience using online file management systems (e.g. Google Drive, SharePoint) Strong ability to work effectively in a team environment. Advanced written and oral English communication skills (testing may be required) Intermediate oral French communication skills and basic written French skills (testing may be required) Intermediate Microsoft Word and Intermediate Microsoft Excel skills (testing may be required) Knowledge of Microsoft Office Suite (e.g. Teams, Planner), an asset
