Champlain College Saint-Lambert is seeking the services of an Administrative Support Agent Class l to work on a full-time replacement position for the Financial Services department.
Reporting to the Coordinator, Financial Services, the incumbent will provide information of a general nature and assistance to students, faculty and external visitors. The incumbent will also perform a variety of clerical and administrative duties.
Information Center
1. Greet students, faculty and external visitors, provide general information, room booking services and reception work;
2. Seek out, collect information and issue work tickets from students, faculty and staff related to the reporting problems in various areas of the campus;
3. Keep up to date records of the status of work tickets from students, faculty and staff and provide reports to this end;
4. Disburse forms, maintain inventory, and enter data related to absences, and class cancellations;
5. Train student replacements on appropriate systems, as required;
6. Receive incoming mail from College Administration and handle outgoing mail bag to and from College Administration;
7. Create and maintain procedure manuals related to the tasks performed in this position;
8. Distribute books to students.
Customer Service
8. Answers calls and counter requests of the department, including sale of parking passes and tickets to students and employees;
9. In collaboration with the Information Technology department, ensure efficient operation of telephone and voice mail systems;
10. Maintain inventory of faculty office spaces, assigning offices to new faculty and processing move requests;
11. Serve as back up to the mailroom and print room;
12. Process and ensure proper documentation and approval of Petty cash requests;
13. Ensure forms are stocked and available to users.
Administrative Support
14. Prepare hiring forms for the hiring of casual student employees for the department;
15. Enter timesheets and absences for casual student employees. Verify codes and obtain appropriate approval prior to processing;
16. Review casual employee budget report on a monthly basis with supervisor;
17. Maintain and update the vacation calendar for the financial service department;
18. Maintain records, deposits and ongoing reconciliation of parking passes and associated revenue;
19. Prepare petty cash and bookstore purchase reports, data entry and cheque request, as required;
20. Perform clerical and administrative duties pertaining to petty cash, purchases and organization of office supplies, prepare invoices and faculty professional development reimbursement as required;
21. Assist with accounting/control of student fundraising activities;
22. Assist with budget coding and distribution of cheque requisitions and purchase orders, distribution of cheques and other accounting support related duties, as required.
General
23. Assist with the filing and general office duties;
24. Other related duties, as assigned.
Requirements :
Education
Must possess a secondary school diploma or a diploma of vocational studies in an appropriate specialty or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.
Experience
Must possess at least one (1) year of pertinent experience.
Competencies
Must be able to communicate proficiently in both English and French, orally and in writing.
Must be proficient with Microsoft Word and Excel.
Must possess knowledge of help desk/call centre practices.
Must be detail oriented, a team player and service oriented.
Required Tests :
Candidates will be required to submit to language tests as well as Word and Excel tests.
Work Schedule :
Monday to Friday, 7:45 a.m. to 3:45 p.m. (35 hours per week)
Duration of contract :
At the latest until the return of the incumbent or June 30, 2026, with possibility of renewal
Salary Scale :
$24.99 - $27.95
