Overview: Casual staff member to assist with year end job closeouts. Responsibilities:
Creating adjusting entries in accounting system (miscellaneous logs)
Assistance with year-end Capital Planning Analyst and audit requests (OAG)
Type 5 closeouts, setup, budget entry and project transfers
Type 6 & 7 project set up and edits
Vendor set up
EFT set up
Scanning and filing project documents in iManage
Ensuring capital projects are set up with the appropriate budget and other information and ready for use in the accounting system as required by the annual capital budget.
Manages the annual close out of completed capital jobs through out the year to ensure annual audit deadlines are met. This includes:
Identifying for project managers when a job close out is expected,
the co-ordination of final job close out documents through all stages of the close out process including assistance in assessing level of job close out required, assisting project managers in identifying assets created through the project and assets to be disposed and the costs associated with both of those asset types and ensuring the appropriate authorization is obtained
final submission of complete, accurate and authorized documents to the Capital Accountant for the creation of fixed assets.
Reviews capital projects and ensures they are closed out on a timely basis. This is accomplished by ongoing liaison with the Project Monitor
Responds to queries from suppliers and plant personnel on status of payment, investigates problems, takes or delegates corrective action.
Assists with weekly cheque run and approves accounts payable batches
Prepare monthly journal entry to allocate visa transactions to the appropriate projects and cost centres.
Qualifications: Qualifications:
High School Diploma required.
Office Administration Diploma is an asset.
Skilled in Microsoft Office suite (Excel, Word, Outlook) is required.
Office administration/accounting/bookkeeping experience would be an asset.
Must undergo a successful criminal records check.
