Role Description



The Manager, Campus Operations Standards and Systems, is the top leadership position for the Campus Operations Standards and Systems (COSS) Department. This position will report directly to the Vice President (VP) of Campus Operations. This position has full accountability for documenting, organizing, communicating, and training of ongoing campus education and business systems, including Spirit of Math, Spirit of English, and Spirit of Technology online and in person campus operations. This includes but is not limited to the maintenance of the operations manual, campus talent training, setting up systems for auditing and delivering the audits and inspections, setting KPls for business success metrics and any other necessary tasks required to ensure the quality and standards are met for all of the campus systems.

Skills Knowledge & Experience:



This individual has a minimum of 3 years of experience within Spirit of Math, or 5 years of experience in a similar role externally. This role requires someone who is aware of trends of thought in the larger education community, specifically within gifted education and has the skills to create business processes and systems needed to scale a company. This person should be able to apply this knowledge while conducting audits, providing feedback and/or creating systems and policies.

This role requires exceptional project and relationship management skills.

This role requires comfort and confidence with technology and software, specifically knowledge with learning management systems and registration systems. They should also have experience using Microsoft Office Suites and be familiar with, or willing to learn, the Adobe Creative Suite (particularly Adobe InDesign). This individual is comfortable using Microsoft SharePoint and should be willing to learn and expand on their knowledge within SharePoint and other online systems.



Education:



The minimum level of education that is required is a B.A. (or equivalent) or B.Ed. (or equivalent).



Accountabilities:



This role reports to the VP, Campus Operations and is accountable for:

Ensuring the success and maintaining standards for all projects and content created, delivered, and maintained by the Campus Operations Standards and Systems Department Assisting team members appropriately with all client and user concerns, as needed Ensuring timely completion of Key Performance Indicators (KPI's) as determined on their job scorecard Creating, tracking and documenting team members' KPI's, goals and deadlines Analyzing, confirming accuracy and ensuring proper storage of all collected data (for example, but not limited to, student scores, feedback surveys, etc.)

Initiating, coordinating, creating, reviewing, updating and implementing all operational systems and/or procedures related to all projects within their department



Authorities:



The individual in this role has the following authorities:



Monitor and approve budget spending for Campus Operations Standards and Systems department Hiring, managing, appraising, coaching, and deselecting all roles reporting to this role Provide appropriate feedback to all campus staff personnel, as needed Review and approve all content and projects created within this department, while maintaining high standards

Create and assign employees to courses in Brightspace and Teams as needed



Responsibilities:



This role reports to the VP, Campus Operations and is responsible for:

Budgeting process and approvals for the Campus Operations Standards and Systems (COSS) department Ensure and maintain brand consistency and quality of all tasks that the COSS department owns and/or has created (ie. Online courses, manuals, booklets, videos, etc.) Organizing, planning, updating, and running training and information sessions related to all operational and educational processes created or maintained by the COSS department Overseeing fulfilment to ensure all materials for distribution are properly updated online and available to order Creating and/or reviewing education specific written material for marketing content Running professional development sessions for COSS team members Initiating, managing, coordinating, and supervising projects within the COSS department Edit, maintain, document and communicate changes made to the Operations Manual company wide. Ensure all campus employees have the minimum relevant training and skill sets required for their roles Ensure systems are understood and properly implemented through audits and training Plan and conduct campus audits and inspections accurately and present all results to the appropriate personnel, in a timely manner Analyze and store confidentially all audit and inspection results Travel to different campuses as required Assist with creation of training programs to develop additional skill sets for current employees, such as leadership skills, etc. Be fully knowledgeable on all systems and processes used Other tasks as required.

This position is for temporary coverage, with the potential for extension based on organizational needs and performance.
