We are seeking a driven and mission-oriented Business Operations Associate to support the founder and leadership team to grow and scale Nimble Science and play an integral role in our success. Role summary



As our Business Operations Associate you will play a central role in our fast-paced company, ensuring that our core administrative, people and system processes are executed, optimized and scalable. Reporting to the VP Operations, and serving the CEO and full leadership team, you will will be instrumental in supporting processes across all areas of the business internally and across the innovation ecosystem.

Administrative & Operational Process Management (60%)



Office Management:

Oversee office logistics, manage inventory of supplies, and serve as the main point of contact for external vendors and building management. This role will ensure that Nimble Space is managed and maintained as an amazing place for employees to work and ensure that all facilities including kitchens, lab spaces, meeting rooms, and office spaces are organized and well maintained.

HR Systems:

Responsible for the onboarding and offboarding of all new employees including IT logistics, policies and procedures and team introductions and orientations. Support VP Operations to manage and maintain sickness, vacation tracking, and other employee related systems and processes.

Culture & Rhythm.

Plan and host team building events, and any conferences, speaking engagements etc. This includes coordinating and managing all logistical aspects of company-wide meetings, including quarterly Town Halls, and senior leadership meetings. This involves scheduling, managing the presentation calendar, coordinating speaker prep, and necessary technology.

Grant Coordination.

Research, track, and monitor potential grant funding opportunities, and achieved grants (e.g., government, foundational, industry-specific programs) that align with the company's strategic growth and technology development goals. Serve as the central project manager for all grant applications and reporting requirements.

Agreement management.

Serve as the central point of contact for the coordination and organization of all corporate agreements, vendor contracts, Non-Disclosure Agreements (NDAs), and internal legal documentation. Manage contract execution, maintain a centralized contract database maintaining a clear and auditable record for financial and compliance purposes and track key dates.

System Ownership:

Serve as the internal expert and provide integration and support as the administrator for key software and operations tools (e.g., Monday.com, MS Sharepoint, etc.).

Process Documentation:

Create, maintain, and train new employees on all internal Standard Operating Procedures (SOPs) for administrative tasks. These include any internal processes and systems that reduce time and effort from all team members including expense reporting, vendor management, and internal communications.

Ecosystem & Strategic Opportunities (20%)



Ecosystem Representation.

Act as a professional and engaging representative of Nimble Science within the local startup and industry ecosystem. This includes attending relevant local and virtual events, meetups, and conferences as needed.

Opportunity Identification.

Continually look for and evaluate opportunities to leverage external resources, partnerships, grants and service providers that can enhance the company's operational efficiency, reduce costs, or support project needs as we grow.

Executive & Team Support (20%)



Manage complex scheduling and travel and calendar coordination for the Founder/CEO or leadership team. Proactively and efficiently manage and prioritize dynamic calendars for CEO with precision and discretion. Assist in preparing professional presentation decks, board meeting materials. Coordinate conference bookings, attendance, and Nimble representation.

Required Qualifications, Skills and Experience



Bachelor's degree. 2-5 years of professional experience in an Operations, Administrative, or Business Analyst role, preferably within a high-growth startup environment. Ability to manage various administrative responsibilities with a keen eye for detail. Flexibility and demonstrated ability to learn and adapt to a fast-paced and evolving work environment. Advanced Microsoft Office suite skills and familiarity with other technologies for automating or organizing workflows and process improvements (eg Monday.com, Sharepoint Forms) Proactive, self-motivated individual that anticipates employee needs. This role will ensure that Nimble teams are set up for success and work to make flow of processes and systems as seamless and efficient as possible. They must possess a supportive, collaborative, and "no task too small" mentality. Comfortable handling confidential information with the utmost discretion and professionalism.
Job Types: Full-time, Permanent

Pay: $55,000.00-$75,000.00 per year
