VR3 Engineering specializes in the custom design, fabrication, and welding of high-strength, lightweight tubing components and structures. VR3 developed in-house expertise in producing complex, pre-notched, and precision-formed tubes ready for weld assembly.

Applications of our work span across airframe structures, high-performance vehicle chassis, industrial tube frames, specialized mechanical assemblies, and even artistic and creative installations. VR3 supports every aspect of producing the best possible tube frame applications to a global market.

We are a group of 14 employees composed of mechanical/industrial/design engineers, skilled fabricators, CNC machine operators, and support staff. We work in a collaborative environment that brings a variety of custom projects to life.

WHAT WE ARE LOOKING FOR



Business Coordinator/Administrator

. This is a unique opportunity for someone with a blend of technical and business training or equivalent work experience to step into a multifaceted role. A person familiar with or interested in learning about our specialized work in industrial engineering, CNC manufacturing, fabrication processes, and custom machine design. This person will play a key role in supporting and coordinating the business operations and personnel that keep VR3 running smoothly. Someone responsible for creating, maintaining, improving, organizing, and simplifying documents, procedures, and records. A key player to the development and maintenance of our Quality Management System (QMS), by engaging with employees across all levels of the organization. A 100% reliable and trustworthy individual who is capable of handling personal, financial, and technical information. Someone who is able to continuously learn new aspects of this position and our unique / challenging business environment.

What You'll Be Doing



Accounting & Financial Tasks:

Maintain daily, weekly, monthly, and annual accounting responsibilities, including payables, receivables, payroll, bank statements, account reconciliations, HST, WSIB, government remittances, and US/Canada customs documentation.

Shipping & Receiving:

Prepare all necessary documentation for outgoing shipments; confirm contents are complete and properly packaged. Use online shipping platforms (e.g., UPS, FedEx, commercial carriers - LTL, etc.) to arrange shipments and notify customers with tracking information. Source and maintain inventory of office/shop supplies, packaging materials, cleaning products, and consumables.

Project Coordination:

Collaborate with project engineers to support order processing and scheduling. Track job progress and delivery timelines, update raw materials inventory, maintain up-to-date customer and supplier contact information, and print technical drawings as needed.

Office Organization:

Manage front-line communication including answering phones. Handle filing, record-keeping, disposal of outdated documents, and updating policy/procedure manuals. Continuously improve and maintain an organized office environment.

HR & Personnel Records:

Support human resources functions by maintaining job descriptions, tracking employee training and qualifications, and assisting in the planning and execution of Management Reviews.

Quality Management (QMS):

Update and maintain VR3's Quality Control Manual and related procedures. Ensure company-wide compliance with customer quality standards and internal procedures.

Health & Safety:

Organize and maintain up-to-date Health & Safety procedures and checklists. Review inspections and maintain records required for internal tracking and external audits.

Miscellaneous Tasks:

Support marketing initiatives by managing content on the VR3 website and other digital platforms. Assist engineering with administrative tasks for order processing such as label creation, drawing printouts, file preparation, and other duties as needed.

WHO YOU ARE



Has education and/or work experience in business administration, office coordination, or a related field--ideally within a small business or technical setting. Has an interest in manufacturing and mechanical/industrial engineering, and wants to learn the unique aspects of VR3's products, processes, and customers. Communicates effectively--both verbally and in writing--with a wide range of people including employees, customers, suppliers, and government agencies. Can confidently manage multiple responsibilities while also contributing to continuous improvement efforts across the business Is highly organized, with strong attention to detail--especially when it comes to managing numbers, documentation, procedures, and project records. Is proficient with Microsoft Excel, Outlook, and comfortable navigating online communication and documentation platforms.
Job Type: Full-time

Pay: $50,000.00-$80,000.00 per year
