JOB DESCRIPTION
BUSINESS COORDINATOR - MIDDLE/SECONDARY

Summary
Work is performed under an administrative officer's direction, with a high degree of independent judgement and action in dealing with a variety of assignments and situations. It is of a technical nature providing support for the school and/or programs within the School District, with assigned responsibility for financial administration duties, as well as general assistance as required. The Business Coordinator - Middle / Secondary is responsible for carrying through to completion a variety of tasks and duties that have an intermediate degree of complexity. As the complexities of the position continue to evolve, the Business Coordinator - Middle / Secondary is expected to adapt to the changes as required. The job requires that changes be recommended to established methods or procedures. Work involves a choice of methods or procedures or sequence of operation. Any difficult or unusual problems or issues can be referred to an administrative officer.
Duties include, but are not limited to:
Performing and supervising a variety of accounting related functions:
o Processes and reconciles accounts payable, accounts receivable, and purchasing card expenses
o Maintains accurate accounting records, monitors and updates budget account expenditures and balances, reconciles G/L and identifies variances
o Maintains accurate accounting records for school-based funds, school trust funds and any district funds
o Reconciles revenues and receivables for various school activities
o Prepares monthly bank account reconciliation reports for the District Office
o Prepares periodic and annual financial information reports, including statements, account analysis, and monthly budget variance reports
o Prepares business plans (revenue and expenses) for school funding initiatives
o Monitors school financial records to ensure adherence to district policies and procedures.
o Provides information to administrators and department heads as needed, for planning and administering the budget
o Assists with cash flow management
o Assists with the preparation and administration of school budgets
o Assists with preparing and implementing appropriate school accounting and purchasing procedures in accordance with District policies and procedures.
Performing and supervising a variety of office administration functions:
o Coordinates and oversees the acquisition and disbursement of school office supplies and equipment, including purchasing, receiving, checking, storing, and distributing.
o Coordinates the ordering of school approved learning resources
o Supervises the collection of student fees
o Assists with training and support for school staff and other clerical positions in relation to the school's business operations
o Coordinates the preparation and distribution of communications with school staff, Board Office, and outside agencies
Performing and supervising a variety of student administration functions:
o Supervises the completion of student registrations, completion of Ministry and District forms, tracking of special needs and international students, textbook inventory, and other related duties
o Assists with student records, student information, timetables, transfers in/out, interim, and final grade submissions, report cards, month end reports, cross boundary students, and related materials
o Assists with the use of software to create and maintain the school's timetable
o Assists with the preparation of the course handbook, selection sheets, student agenda booklet, school calendar
o Assists with enrollment forecasting
o Assists in the preparation of a large variety of student reports including, achievement, growth plans, many different program and course subject areas, etc.
Perform other related duties as may reasonably be expected of a person in this position
Required Qualifications:
Completion of Grade 12
A diploma in Financial Management, or Business Administration, or equivalent diploma
A valid Class 5 Driver's License
Required Experience:
A minimum of two (2) years' relevant office administration experience, including use of computerized office administration systems
A minimum of two (2) years' relevant full cycle accounting experience, including use of computerized financial accounting systems
Required Skills and Abilities:
Superior organizational skills
Superior attention to detail: prepares accurate correspondence, reports, and other materials
Superior interpersonal and communication skills, both oral and written
Exceptional knowledge of office procedures and records management
Exceptional use of computerized software systems, financial accounting systems, Microsoft office software, and the use of technology to streamline work
Ability to work within deadlines and other time pressures
Ability to function effectively in an administrative and supervisory capacity
Ability to work co-operatively and collaboratively and to maintain effective working relationships
Proficient in the use school-based software such as school cash, MyEd BC
Working knowledge of school district operations, policies, and procedures
