Regional Support is provided from our office in Vancouver.Join us and unearth your potential in a global company that is at the forefront of shaping the future of the mining industry.About this roleWhat will you be responsible for?Business Assistant is responsible for supporting the North America business office, through day-to-day calendar management and effective administrative support for meetings, travel, expenses, and various work events. The position is based in Newmont\xe2\x80\x99s Vancouver office with in-person work required at minimum 4-days per week.Your role will consist ofHere is a snapshot of what your day to day will look like:

  • Calendar management including scheduling meetings, appointments, travel arrangements, and resolving potential scheduling conflicts for assigned leadership team members situated across North America
  • Coordination of meetings and workshops including preparing agendas, confirming attendee participation, venue reservation, and recording and circulating meeting minutes
  • Collaborate with Sr. Office Coordinator to ensure regular reception coverage and in-office support, and provide business assistant support to other North America Business Assistants, as required
  • Coordinate domestic and international travel arrangements for senior leaders including providing any visa applications and other immigration support
  • Manage expense tracking and submission, credit card reconciliation, invoice fulfillment, and administration of vendor payments including preparing purchase orders and requisitions
  • Provide support in gathering information required by leaders including reviewing company policies and guidelines and preparing reports as needed
  • Research, compile, and prepare presentation materials
  • Organize and maintain digital and any physical files, documents, and records to effectively support leaders while ensuring confidentiality of sensitive information
  • Participate in training and maintain active status as log keeper for the regional emergency crisis management
  • Closely collaborate with Regional Investment Committee lead to pro-actively organize volunteering or charitable opportunities for Vancouver-based employees to participate in
  • Supports various External Relations initiatives including communication and coordination of events involving external partners
  • Fosters employee engagement through active participation in the Social Committee, and planning and executing various events.
Your training, skills, and experience checklist:Knowledge:
  • University degree or post-secondary diploma is an asset
  • Minimum 4 years executive/administrative assistant experience or equivalent combination of training and experience are necessary
Experience, Skills and Abilities:
  • Strong professional communication and relationship management needed to effectively collaborate with external and internal partners
  • Ability to work independently, exercising initiative, discretion and judgment and make appropriate decisions within the scope of assigned responsibility
  • Handle confidential and time-sensitive material with tact and discretion
  • Demonstrated attention to detail
  • Proficient computer literacy, particularly in MS Office Suite and with expense and invoice processing software
  • A high level of flexibility to adapt to business requirements
  • Ability to handle multiple and time-sensitive priorities
Working Conditions
  • In-office 4-days / week at Newmont\xe2\x80\x99s Vancouver location with one day remote
  • Availability and connectivity may be required beyond standard hours to appropriately support leadership schedules

This range is tied to the British Columbia market for jobs performed in British Columbia. The salary offer to the successful candidate will be based on job-related education, training, and/or experience.
