Description of role:



1- Account keeping:

Full cycle account keeping, reconciliation and reporting

Maintain and update vender and client lists

Invoicing and billings

Reconciling receivables with project billings

Communicate with client AP teams as needed

Electronic capture, verification and filing of expense receipts

Accounting analysis of income and expenditure and identifying efficiency gaps

Preparing detailed HST reports

Maintaining accurate chart of accounts

Prepare monthly and annual financial reports

Liaison with accounting team for on time and accurate filings

Lead or assist accounting platform or procedural upgrade when needed

Ability to delegate and monitor tasks to others

2- Staffing:

Assist in staffing, job postings and first round interviews

Assist in payroll filings

Assist in Making travel arrangement if needed

Scheduling health and safety and professional training

Maintaining health and safety and professional credentials

Maintaining accurate internal resumes and profiles for project purposes

Ensure team satisfaction and retention

3- Office management:

Order supplies

Maintain a clean and orderly office

Maintain printers and related publishing equipment

Add or maintain workspaces for team members

Optimize office activities

Assist with routine IT issues

Follow up on business communications

4- Shipping receiving:

Prepare shipping documents through Fedex/DHL portals

Maintain the shipping accounts in good standing and evaluate rates and billings

Arrange pickups and receive packages

Track and monitor all active shipments

File and monitor customs invoices, duties and fees

5- Assist in project management:

Serve as a point of contact when needed

Create project entries and initiate the lifecycle structure

Monitor and update the scheduling calendar

Track RFP and proposals and ensure timely response

Identify success and failure rates

Obtain periodic feedback from clients

6- Assist in corporate compliance:

Maintain health and safety portals such as WSIB, Avetta and ISN

Ensure tax and compliance documents are prepared and sent to requesting entities.

Assist in accreditation efforts with ISO and other bodies

7- Assist with inventory and asset management:

Monitor vehicle condition and needed documentations

Maintain the accuracy of the asset list

Monitor calibration validity of equipment

Place warranty and repair requests

8- Assist in marketing and business development

Maintain the CRM system

Monitor the website and LinkedIn account health

Post articles and notices on behalf of team

Identify business opportunities

Participate in conference and trade shows if needed

Expected skills, knowledge and experience:



Advanced and proven account keeping knowledge and experience

Proven experience in professional and corporate settings

Superb computer skills, including advanced office suite of products as well as Microsoft 365 cloud applications and security

Professional communication skills; written and oral

Advanced organization, multi-tasking, prioritization, and management skills

Good understanding of tax, legal and corporate operational requirements

Experienced with contract language and requirements

Demonstrated experience in all key role requirements

Job Type: Full-time

Pay: $30.00-$40.00 per hour

Education:

Bachelor's Degree (preferred)
Experience:

account keeping: 5 years (preferred)
Work Location: Hybrid remote in Etobicoke, ON M8Z 1J7
