We are a busy & growing Real Estate Team seeking a Branch Office Administrator who will provide an excellent customer service experience to both our agents, and all clients. You will be the first point of contact, so it is important that you set an amazing first impression! Everything we do is aimed at helping them be more productive, as well as create and maintain a vibrant, friendly and cooperative workplace. Please note - this is a full-time position. Office is open Monday to Friday, 9:00am-4:30pm with lunch break between 12:00-1:00pm. Pay is $18-$20/hr depending on experience; potential to earn more, with increased responsibility. Responsibilities Include: First Impressions: \xc2\xb7 Smile! Be positive, energetic and upbeat \xc2\xb7 Maintain a willing, helpful and positive, \xe2\x80\x9cIt\xe2\x80\x99s my pleasure!\xe2\x80\x9d attitude at all times \xc2\xb7 Promptly answer all incoming phone calls and courteously welcome all office guests \xc2\xb7 Keep reception/common/meeting areas neat and presentable \xc2\xb7 Dress in a professional manner Information: \xc2\xb7 Distribute all incoming messages and faxes - notify Sales Associates when faxes associated with a listing or sale come in. \xc2\xb7 Notify Sales Associates of client drop ins or client drop offs of paperwork - page/text \xc2\xb7 Manage/distribute office email and incoming/outgoing mail \xc2\xb7 Arrange for couriers as needed \xc2\xb7 Title/corporate searches as requested \xc2\xb7 Take deposit cheques to the bank Listing Management: \xc2\xb7 Receive, check, sort, scan and identify missing documents; input changes/extensions \xc2\xb7 Input listing documents into Enviromint \xc2\xb7 Review, electronically file and shred incoming FINTRAC documents Social Media: \xc2\xb7 Regularly create and post content for various Office Facebook pages \xc2\xb7 Assist agents in creating/posting content to their Facebook/Instagram/LinkedIn/etc. pages \xc2\xb7 Create boosted posts for agents \xc2\xb7 Promote community events on social media Administrative: \xc2\xb7 Commissioner for Oaths for clients and Sales Associates as required \xc2\xb7 Attend and participate in all staff meetings When you arrive: \xc2\xb7 Check outside lockbox, clean up the outside as needed (sweeping, collecting random garbage) \xc2\xb7 Lights on, check and tidy meeting rooms and kitchen, put dishes away \xc2\xb7 Make sure snow is shovelled and ice remover applied - or call the contracted vendors; same for summer landscaper duties \xc2\xb7 Be ready to answer phones and walk-in\xe2\x80\x99s promptly at 9:00am \xc2\xb7 Check bathrooms - clean and tidy and stocked with supplies \xc2\xb7 Check copier/printer - paper/toner During the Day: \xc2\xb7 Periodically check the meeting rooms and entire office, make sure they are tidy Before you leave: \xc2\xb7 Lights off, check and tidy meeting rooms and kitchen \xc2\xb7 Make sure computers in meeting rooms are turned off \xc2\xb7 Check bathrooms - clean and tidy and stocked with supplies \xc2\xb7 Check copier/printer - paper/toner \xc2\xb7 Take outgoing mail to postal box Requirements and Qualifications: \xc2\xb7 Strong interpersonal skills \xc2\xb7 Legendary customer service skills \xc2\xb7 Willingness to learn and develop new skills \xc2\xb7 Reliable transportation, dependable personality \xc2\xb7 Maintain confidentiality at all times \xc2\xb7 Flexibility to cover additional shifts when needed \xc2\xb7 Exemplary written and verbal communication \xc2\xb7 Highly organized to manage workflow efficiently \xc2\xb7 Team player with a positive attitude \xc2\xb7 Self-motivated requiring minimal supervision \xc2\xb7 Excellent phone manners and etiquette \xc2\xb7 Customer service experience required \xc2\xb7 Previous real estate office experience would be an asset \xc2\xb7 Proficiency using Outlook, Excel, Word \xc2\xb7 Enviromint/Deal Manager To Go or other real estate management system experience would be an asset Job Type: \xc2\xb7 Full-time (5 days a week, Monday-Friday, 9:00-4:30pm with 1 hour lunch break) Location: \xc2\xb7 RE/MAX real estate central alberta \xe2\x80\x93 5008 50 Street, Innisfail, Alberta Nobody else in Canada sells more Real Estate than RE/MAX!
