We are accepting applications for a full-time Branch Assistant to join our Solid Waste team for a period of up to 12 months. The Branch Assistant provides administrative assistance and support to Engineering Services, which includes engineering, water, liquid waste, solid waste and liquid waste management planning services. Reporting to the General Manager of Engineering Services, the primary responsibilities of this role include:


Providing administrative support to all managers and staff within Engineering Services including; performing weekly, monthly and annual functions. Requesting and preparing meeting agendas including supporting documentation; taking and transcribing meeting minutes of the meetings as required; arranging and providing for meeting logistics including room bookings, participant invitations and catering. Responding to enquiries of a general nature over the phone or in person, and referring more complex or unusual enquiries to appropriate staff for response; preparing correspondence in response to routine written enquiries. Conducting research on various subjects by retrieving file and internet information, contacting/surveying other agencies and organizations, and preparing correspondence, briefing notes or reports as required. Maintaining management reports and project tracking systems, along with supporting staff to ensure deadlines are met. Providing relief for the information centre by performing reception and switchboard duties and processing payments.




Our ideal candidate is:




A strong communicator both orally and written; Able to produce accurate documents in an efficient manner; Knowledgeable in the practices and processes involved in local government office administration; Able to balance multiple demands and priorities; Experienced in providing administrative support with over one year up to two years of directly related experience including strong working knowledge of Microsoft Office (specifically word processing, spreadsheet and database skills) minute taking and electronic filing; Educated in office administration (including an office administration course of six months to one year duration at the post-secondary level) following high school graduation;




This is a CUPE Local 556 position with a wage rate of $33.42 per hour.
