We're a fast-growing startup looking for a detail-oriented, organized, and proactive Bookkeeper / Finance Administrator to join our team and oversee daily financial operations with accuracy, clarity, and care.
Key Responsibilities
Maintain accurate and up-to-date financial records in QuickBooks Online
Record all sales, purchases, receipts, and payments
Reconcile bank and credit card statements regularly
Manage accounts payable and receivable; follow up and call to collect unpaid invoices
Monitor cash flow weekly and monthly; prepare reports and forecasts for management
Process payroll and submit monthly payroll remittances on time
Handle incoming and outgoing payments, ensuring vendor and supplier deadlines are met
Prepare monthly financial reports (P&L, Balance Sheet, Cash Flow)
Support HST filings and assist with year-end preparation
Maintain and reconcile inventory reports with logistics and operations teams
Manage Shopify bookkeeping and payout reconciliations
Track budget and expenses, assisting with financial planning
Communicate professionally and clearly with both external partners and internal team members
Ensure financial confidentiality, accuracy, and integrity at all times
Qualifications
3 to 5 years of professional bookkeeping or accounting experience
Business-level fluent English (verbal and written)
Japanese language skills are a strong asset
Interest in Japanese culture or tea is a bonus
Advanced proficiency in QuickBooks Online and Excel
Experience with Shopify bookkeeping and inventory management
Strong understanding of cash flow management, payroll, and monthly remittances
Strong analytical, organizational, and problem-solving skills
Excellent communication skills -- must be able to work collaboratively with both internal and external stakeholders
High emotional intelligence and ability to work effectively within a small, close-knit team
Knowledge of inventory costing, foreign currency transactions, and COGS tracking is a plus
Ability to work independently, manage time efficiently, and adapt to a fast-paced startup environment
Proactive, reliable, and detail-oriented team player
