Position: Bilingual Administrative Assistant/Marketing
Hours: Monday - Friday either 8:30am - 4:30pm - 9:00am - 5:00pm can be flexible however must be 8.5 hr work day.
Salary: $60k - $65k

2 week\'s vacation + the office is closed from Christmas to New YearsWe are looking for an Administrative Assistant to join our team and provide support to our other staff members. The ideal candidate should have excellent organizational skills, the ability to multitask, and a strong attention to detail. We are looking for someone who is able to work independently and efficiently.Responsibility and System knowledge overview:CJA Office Admin Assistant Job Responsibilities:Answer incoming calls and direct call to the appropriate department by determining what the caller needs. When possible, provide the requested information.
Looking to set up FedEx account (or other member benefit account); collect contact details and any account information.
Updating membership directory profile.
Registering for JETS.
Assist with the Membership Application Process:
Review the application and check for any missing information
Contact references and add comments from the reference to the applicant\'s file
Notify the Membership Coordinator when the application is ready to be approved (membership coordinator will review the application and will activate the membership if everything is in order
Once approved, assist members with getting set up with member benefit partners.
Requires use of Membee system.
JETS:
Receive and process new JETS applications
Provide new JETS students with course materials
Grade JETS quizzes and return to students with corrections.
Provide students with Final Exam Application when they complete all modules.equires use of Adobe Reader functions, Excel, and Word.
Membership Certificate Packages:
Prepare Member Certificate packages:
Run letters, certificates, address labels using the Word Mail Merge function
Include additional marketing materialsRequires use of Membee Reports, Excel sort functions, and Word Mail Merge functions.
Committee Meetings:
Send committee meeting invites and include provided meeting agenda
Record meeting minutesJob Board:
Process new Job Board posts ensuring information is appropriate.
Confirm payment was received (for non-members)MUST HAVES:
Fully bilingual in English and French IS A MUST
Knowledge in Abobe, WordPress, all MS Office Suites and Canva
Someone with personality - great on the phone, personable, as members drop into the office from time to time. Be happy, helpful and supportive.
Knowledgeable in the organization.
Organized and great work ethic - Must be able to multi-task, prioritize and eager to work.
Someone who is punctual and is comfortable with commuting downtown everyday.
